A Day in the Life
Maintaining the Physical Asset
- Prioritize, schedule and monitor daily activities, service requests, inspections, make-ready priorities and construction/improvement projects.
- Perform detailed daily property walks to ensure all maintenance and custodial issues are promptly addressed and that property maintains curb appeal.
- Work in conjunction with Maintenance Manager to diagnose common household and commercial building maintenance issues and provide quality solutions in a timely manner.
- Manage contracts with vendors, city and local governments to keep the asset in compliance with yearly budget and local laws and requirements.
- Identify issues preemptively and prepare for preventative maintenance, capital expenditure projects to ensure any wear and tear is anticipated and the property remains in great condition.
- Identify and resolve any potential security gaps or concerns.
- Anticipate and schedule for annual testing to ensure property remains up to code.
- Maintain permits and required maintenance plans.
- Respond quickly and appropriately to emergencies.
Marketing and Leasing
- Prepare and adhere to the marketing and leasing plan.
- Market property to attract new residents through various online, in person or other advertisement sources.
- Oversee and perform leasing duties including responding to inquiries, showing apartments and preparing and executing leases. Follow through from first contact until move-in to ensure positive resident experience and to meet occupancy standards.
- Adhere to the branding guide to maintain brand integrity and to create a story that pulls people in.
- Conduct market surveys and have an informed understanding of market trends.
- Collaborate with portfolio manager to assess changes in the rental market through analysis of traffic and rental records.
- Maintain Fair Housing guidelines while being culturally aware and be able to work with diverse groups of people and interests.
- Make pricing recommendations based on market trends.
Financial Reporting & Control
- Work with portfolio manager to create annual budget, including identifying building needs and fielding proposals for Capital Expenditure projects. .
- Adhere to approved budget and review financial statements monthly.
- Negotiate for supplies and services with vendors and contractors and collect multiple bids for costly projects to achieve the best possible prices while maintaining high-quality product, service and craftsmanship.
- Manage accounts receivable, accounts payable and delinquencies within the constraints of the monthly and yearly property budget.
- Process and distribute financial reports to upper management, ownership groups, etc.
- Complete income and expense work flows in YARDI Voyager.
- Control petty cash/debit card funds, ACH set-up/processing and fund transfers.
- Prepare weekly property reports and monthly variance reports.
Administration
- Manage and maintain both physical and digital resident, vendor and project files.
- Communicate effectively with residents, Blanton Turner employees, managers and vendors (verbally and in writing).
- Organizes team schedule to ensure that the property has office coverage Monday through Saturday from 9AM to 6PM or as needed.
- Utilize existing methods or create new systems and tools to stay organized and current with files, projects, ongoing issues, etc.
Tenant Retention
- Be the face of your building. Always provide excellent customer service and take on issues or complaints with optimism and empathy. Continually review and improve customer service strategies.
- Anticipate resident needs and maintain a positive will-do attitude.
- Organize and implement Lease Renewal program.
- Maintain regular communication with residents, coordinate resident events and conduct resident satisfaction surveys. Keep residents in the loop and always be responsive to projects, issues, or concerns. Be present and listen to residents to create an environment where they feel safe and understood. Don't just be an email address.
- Continually build value throughout the community by investigating potential services or benefits that can be passed to residents.
- Perform regular community outreach to build networking relationships throughout the neighborhood.
- Be knowledgeable and available when dealing with emergency situations from after-hours needs, maintenance emergencies, safety issues, and more.
Team Management
- Effectively lead and manage property staff – including, but not limited to, recruiting, hiring, training, scheduling, conducting employee reviews, disciplining, and being involved in termination.
- Lead by example.
- Organize and delegate daily work.
- Provide encouragement to team members, including communicating team goals and identifying areas for new training or skill checks.
- Identify areas to help team members gain new skills and prepare them to grow and advance with the company.
Requirements
- Minimum 1-2 years experience in property management or related field.
- 4-year college degree preferred.
- Commercial experience a plus
- MFTE experience a plus
- Knowledge and understanding of Fair Housing, state and federal housing laws required.
- Computer literate; proficient with productivity software including MS Office, Office 365 and Dropbox.
- Experience with Entrata, Yardi, Funnel and PayScan desired; ability to learn quickly required.
- Customer service experience preferred; excellent customer service, communication skills and writing skills required.
- Able to prioritize duties and efficient time management skills required.
- Excellent organizational skills required.
- Ability to communicate in a clear, friendly, professional and proactive manner with others (including office and on-site staff); active listening skills required.
- Ability to be creative, flexible and to drive change.
- Ability to work under pressure while maintaining both perspective and a sense of humor.
- Open to giving and receiving feedback.
- Ability to take ownership and demonstrate a positive, can-do, customer focused attitude.
- Willingness to try new and different approaches.
- Understands the uniqueness of each project while carrying over best practices learned from others
- Ability to lift up to 30lbs on a regular basis.
- Ability to walk, stand and climb stairs on a regular basis.
