Salary: Starting $50,416

Position Summary

The Compliance and File Management Specialist is responsible for maintaining regulatory compliance, organizing certification and audit files, and supporting property management operations across a diverse portfolio including Public Housing programs. This position ensures timely and accurate documentation, assists with internal and external audits, and supports compliance-related communication with residents and staff.

Key Responsibilities
Certification & File Management
  • Track and monitor certifications for assigned properties.
  • Audit tenant files for housing assistance programs to ensure compliance and accuracy, and market property move ins to ensure accuracy.
  • Prepare and maintain audit documentation for current actions and external audit reviews.
  • Maintain organized and uptodate electronic files, including YARDI document management.
Compliance Reporting & Tracking
  • Compile and track various program compliance information; prepare monthly compliance reports.
  • Run and review HUD reports; coordinate with Property Managers on followup investigations.
  • Generate and maintain monthly subsidy and waitlist monitoring reports.
Policy & Program Support
  • Assist with policy development and document updates at the direction of the supervisor and manager.
  • Maintain current versions of the Admissions and Continued Occupancy Policy (ACOP) and Tenant Selection Plan (TSP).
  • Prepare reports related to late rent, repayment agreements, and collection accounts.
Communication & Resident Correspondence
  • Draft resident communications, including lease violations, compliance letters, and other notices as needed.
  • Support supervisor and manager in preparing communications and documentation for hearings or legal proceedings.
  • Complete rental verifications.
Administrative & Team Support
  • Provide backup support to Property Managers when needed.
  • Assist in research and reporting for special projects assigned by the supervisor or manager.
  • Perform other duties as assigned.

Qualifications
  • At least three years' experience in property management, housing compliance, or related administrative work preferred.
  • Strong organizational skills with attention to detail and accuracy.
  • Proficiency with YARDI or other property management software.
  • Knowledge of HUD, Public Housing, and other affordable housing compliance requirements.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks and meet deadlines independently.
