The Position: Administrative Assistant - Office Manager.

Overview
The Administrative Assistant - Office Manager supports RROP, a 501(c)(3) non-profit corporation, in day-to-day functioning through general office support and administrative support. This position plays a key role in maintaining database integrity and in maintaining donor communication and satisfaction. The Administrative Assistant - Office Manager should be a team player and seek ways to enhance RROP's mission and help support the journey towards its vision.
Duties
- Assist with administrative and everyday functions of RROP
- Provide support to Executive Director, volunteers and the overall objectives of the Board
- Compile and maintain records maintaining various filing and records management systems
- Responsible for the recording and updating of donors' data and timely acknowledgement (thank you letters) of donations
- Assist with the revision and maintenance of office procedures and policies
- Complete financial activities and maintain appropriate financial records
- Complete insurance billing and other billing for RROP's programs and activities
- Compile and manage event invitations and event sponsor lists and to coordinate with the printer
- Receive, sort, read, route and respond to routine physical mail, emails, and inquiries
- Pick up (or arrange to have picked up by a volunteer) mail weekly from the RROP PO Box and make weekly bank deposit for the processing and posting of donation checks into the bank
- Help orchestrate and schedule Executive Directors' meetings with supporters, potential future supporters, and community organizations of RROP both locally and around the country
- Oversee the RROP Sponsorship programs including letter/photos/sponsor letters to kids and communication with Sponsors
- Assist with our annual major events including One Under the Stars, Walk-a-thon, and Presentation Weekend
- Help coordinate the thanking and recognition of volunteers and donors
- Organize the donor and sponsor lists for the annual newsletter and coordinate with the printer
- Assist with helping create presentations and other management-level reports
- Attend monthly board meetings (in person, by zoom, or if unable to attend through a recording) and take minutes, review with executive director or board president and distribute them
Qualifications
- Highly organized team player who is positive and professional

- Excellent attention to details
- Strong written, verbal, and interpersonal skills
- Excellent organizational, collaboration, time-management and problem-solving skills
- Experienced and Proficient in Microsoft Word, Excel, and PowerPoint
- Awareness of and sensitivity to multi-cultural dimensions and the ability to work across cultures
Physical Requirements: The position is mainly a sedentary position. Occasional lifting of not
more than 30 lbs. Bending, stooping and kneeling as required for filing and copy machine
operation. Visual acuity appropriate for computer work and printed page.
Vacation/Time Off: The requirement of the position and the philosophy of the board is that the RROP Community Office Manager excels and fulfills requirements of the position. Vacation time should be taken relative to that requirement and philosophy.
Location
The applicant must live within a 25-mile radius of Stockton, California. The position is remote.
