Job Overview

We are seeking a motivated and detail-oriented Development Coordinator to join our team. The Development Coordinator plays a vital role in supporting the fundraising efforts of The Refuge Center, by providing essential administrative and operational support to the Development team, contributing to the success of fundraising events, and strengthening meaningful donor relationships. This position will assist in donor communications, database management, event logistics, and stewardship activities to ensure a positive donor and community experiences that help to meet and exceed our Annual Fundraising Plan goals.

Donor Support

  • Serve as key contact for DonorPerfect, our donor management system: input new donations via check, download online donations, manage donor data, run donor and giving reports, and pull mailing lists and email lists from DonorPerfect and Constant Contact
  • Create and update forms, templates, and events for DonorPerfect and Constant Contact
  • Manage donor receipting, year-end receipts, and consistent acknowledgement letters
  • Maintaining regular communication with donors, providing updates on the impact of their contributions, and acknowledging donations
  • Identifying potential donors through research, networking, and database analysis
  • Coordinate donor recognition activities and maintain donor appreciation systems

Fundraising Event Support

  • Support event timelines, task lists, and overall planning schedules for Development initiatives and events
  • Request, collect, compare, and organize vendor quotes (venues, catering, rentals, AV, printing, décor, entertainment, transportation, etc.) and help coordinate approved vendors to confirm services, timelines, deliverables, and logistics under the direction of the Associate Director and Development leadership
  • Coordinate with vendors, sponsors, volunteers, and staff to ensure smooth execution of Development projects and event logistics, including pre- and post-event setup and breakdown
  • Manage the collection of sponsor materials (logos, ads, recognition preferences, in-kind donations)
  • Assist with event communications, invitations, RSVP tracking, and guest list management
  • Prepare and organize event materials including programs, signage, name tags, registration lists, able décor, and sponsor recognition items
  • Support post-event follow-up, including donor and sponsor acknowledgements and documentation

Administrative Support

  • Work with our operations and accounting team in providing giving reporting, development and marketing invoicing, and reports from our various giving platforms
  • Support marketing with print and online materials to help create, proofread, and order materials as needed
  • Help coordinate marketing and development meetings, documents, and other logistics
  • Provide support for our Connections lunches and other meetings hosted at our facility
  • Perform other duties as assigned

Qualifications

  • Bachelor's degree or equivalent experience in a related field.
  • 1 years of experience in fundraising, events, or donor relations (nonprofit experience required)
  • Strong organizational skills and ability to manage multiple tasks and deadlines
  • Excellent communication and interpersonal skills to build rapport with donors
  • Proficiency with donor databases, Microsoft Office Suite and other fundraising tools.
  • Passionate about our mission to offer high quality, professional counseling services to everyone, no matter income level
  • Understands the importance of mental health, therapy, counseling and donor/client confidentiality
  • Enthusiastic team player with a positive attitude and attention to detail with a welcoming and kind spirit.
  • Flexible and ready to serve with the ability to work occasional evenings and weekends for events.
