Job Summary
We are seeking a proactive and detail-oriented Assistant Property Manager to join our dynamic property management team. In this vital role, you will support the overall operation of residential or commercial properties, ensuring smooth daily functions, exceptional tenant relations, and compliance with all relevant regulations. Duties
- Assist in managing leasing activities, including property tours, tenant screening, helping lease and lease signing processes, with a focus on property leasing and customer service excellence.
- Support rent collection efforts through data entry, payment processing, and follow-up communications to ensure timely payments.
- Coordinate property maintenance requests by liaising with vendors, tracking work orders via property management software such as Yardi or OneSite, and ensuring timely resolution of issues.
- Maintain accurate records of tenant files, legal documents, contracts, and correspondence in accordance with legal administrative standards.
- Handle conflict management situations professionally by mediating disputes between tenants or addressing concerns promptly.
- Support office administrative tasks such as filing, data entry, phone etiquette, and maintaining organized records for property operations.
- Participate in facilities management activities including basic property maintenance oversight and ensuring compliance with safety standards.
- Engage in upselling opportunities for additional services or amenities that enhance tenant satisfaction and retention.
- Collaborate with team members on sales initiatives to attract new tenants while fostering positive customer relationships.
Qualifications
- Proven experience in property management or real estate administrative roles.
- Experience using property management software such as rent manager, or similar platforms for data entry and reporting purposes.
- Excellent customer service skills with professional phone etiquette and conflict resolution abilities.
- Demonstrated ability to manage multiple priorities efficiently within an office environment while maintaining attention to detail.
- Knowledge of facilities management practices including basic property maintenance coordination
- Experience in sales or upselling is advantageous.
- Strong organizational skills with the ability to handle legal administrative tasks such as filing and record keeping accurately.
