Job Summary:
The Office Administrator will perform a variety of administrative and operational tasks to ensure the smooth day-to-day running of the office. This individual will be responsible for office management, client support, scheduling, reception, marketing and compliance support. The ideal candidate is highly organized, proactive, detail-oriented, and able to juggle multiple responsibilities while fostering a positive office environment.
Key Responsibilities:
- Administrative assistant to CEO of the company.
- Manage the office's daily operations, including ordering supplies, maintaining equipment, handling mail, coordinating with vendors and ensuring the workspace is well-organized.
- Serve as the point of contact for advisors, staff, and clients, ensuring timely and professional communication.
- Coordination with client gifts.
- Provide reception duties, including answering phones and greeting clients.
- Coordinate and schedule internal and client events and meetings, including calendaring, booking venues, sending reminders and organizing logistics.
- Maintain and update records in the CRM database, ensuring data completion and accuracy.
- Prepare reports and materials for meetings, submit and follow up on paperwork, and support operational workflows.
- Collaborate with team members on compliance tasks and special projects as needed.
- Assist with onboarding and training of new employees and clients.
- Foster a positive and collaborative office culture, contributing to a professional and energetic work environment.
Requirements and Qualifications:
- Strong organizational and multitasking skills, with the ability to prioritize tasks efficiently.
- Excellent written and verbal communication skills.
- Proactive and self-motivated, with a willingness to take ownership of responsibilities from start to finish.
- Experience in office management, operations, or administrative support.
- Strong computer skills, including proficiency in Microsoft Word, Excel, Outlook, and CRM software.
- Ability to work independently, take initiative, and collaborate effectively with the team.
- Experience working in a professional environment is preferred.
- Previous experience in the financial services industry, event planning, and vendor management is a plus.
- Ability to work in person in our Los Angeles office.
Salary and Benefits:
- Competitive salary based on education, experience, and skills ($50,000 - $70,000 per year).

- Bachelor's degree (Preferred)

- Office Management/Administration: 1 year (Preferred)
- Financial Services Industry: Preferred

Ability to Relocate:
- Los Angeles, CA 90024: Relocate before starting work (Required)
