Position Overview
We are hiring a Managing Paralegal to lead our paralegal team. This is primarily a leadership and operations role, not a day-to-day casework position. You will onboard and develop talent, run team rhythms (one-on-ones, team meetings, performance reviews), manage capacity and KPIs, and drive practical process improvements.
This role is fully in-office and includes being responsible for opening the office each day, including key access, turning on lights, and getting the space ready for the team.
How You'll Approach the Role
We are not looking for someone who comes in and makes a ton of changes on day one. We want someone who:
- Listens first, observes, and learns the current workflows
- Builds relationships, trust, and camaraderie before changing systems
- Starts with low-hanging fruit, implementing simple improvements that make a big impact
- Earns buy-in through fairness, clarity, and consistent follow-through
What You'll Do
Team leadership and culture
- Hold regular one-on-ones (weekly or biweekly) with each paralegal
- Run regular team meetings with clear agendas, decisions, and accountability
- Maintain a calm, respectful, drama-free environment
- Act as a steady point of support for the team, including handling sensitive situations with discretion
Onboarding and training
- Own onboarding for new hires: training plans, shadowing, skill checklists, and readiness milestones
- Train and coach the team on best practices and quality standards
- Lead by example and step into workflows when needed for coverage
Performance management (objective and coaching-first)
- Conduct regular performance reviews with documented expectations and measurable goals
- Identify underperformance early and coach it up with clarity and support
- Identify top performers and help spread what works across the team
- Maintain fairness and consistency across the board: no favorites, no special rules
Capacity planning and workflow allocation
- Monitor bandwidth, workload volume, and deadlines to prevent scramble mode
- Allocate work based on capacity, skill level, urgency, and development goals
- Keep production moving while also improving how the team operates
KPIs, systems, and software adoption
- Create, maintain, and report on KPIs that reflect both speed and quality
- Build and maintain SOPs, templates, checklists, and QA routines
- Help implement software and workflow changes thoughtfully, ensuring training and adoption stick
Office responsibility
- Open the office daily (keyholder responsibility), including turning on lights and ensuring the team can start the day smoothly
What You Bring
- 4+ years of litigation paralegal experience (consumer law or Lemon Law is a plus)
- Experience leading, mentoring, training, or managing paralegals (formal or informal)
- Experience running one-on-ones, team meetings, onboarding, and performance reviews
- Strong organizational instincts: prioritization, capacity planning, and workflow management
- Comfort with KPIs, reporting, and dashboards (Excel/Google Sheets required)
- Tactful, patient communication style with high emotional intelligence
- Zero ego, hands-on approach, and a clear sense of service to the team and firm
- Reliable daily in-office presence and comfort serving as office keyholder
