We are seeking a highly organized and creative Marketing Administrative Assistant to support the marketing team in executing campaigns, managing promotional materials, coordinating events, and handling day-to-day administrative tasks. This role requires a detail-oriented individual who can balance creative thinking with strong organizational skills. The ideal candidate is proactive, resourceful, and eager to contribute fresh ideas while ensuring marketing operations run smoothly.

Key Responsibilities: Marketing Operations & Supply Management

  • Manage inventory of marketing supplies, including flyers, brochures, business cards, apparel, banners, and promotional items.
  • Order, track, and reorder supplies to maintain appropriate stock levels.
  • Return unused sample items promptly and ensure proper documentation.
  • Research new promotional items, track marketing trends, and forecast future client gift needs.

Campaign & Creative Support

  • Assist in brainstorming and developing marketing campaign ideas, client gifts, and event concepts.
  • Provide design support for internal marketing materials using Adobe Creative Suite, Canva, or Adobe Express.
  • Collaborate with third-party marketing agencies by refining/tweaking their creative work to better align with brand identity.
  • Edit short-form videos for social media campaigns.

Event Planning & Vendor Coordination

  • Assist in planning and coordinating company events, including set-up, tear-down, and vendor management.
  • Maintain an organized system for storing and checking out event materials (tables, flags, banners, table covers, etc.).
  • Ensure event items are clean, functional, and ready for use.
  • Attend company events outside regular business hours as needed.

Administrative & Internal Support

  • Support internal marketing initiatives, staff communications, and project coordination.
  • Maintain organization of the marketing storage room and establish efficient inventory processes.
  • Provide clerical support such as scheduling, vendor communication, and follow-ups.

Required Skills & Qualifications

Creativity & Design:

  • Strong eye for design, branding, and presentation.
  • Intermediate knowledge of Adobe Creative Suite (Photoshop, Illustrator, InDesign, Premiere Pro) or equivalent tools (Canva, Adobe Express).
  • Basic to intermediate video editing skills for social media.

Organization & Project Management:

  • Excellent organizational skills and ability to manage multiple projects at once.
  • Strong attention to detail with proactive problem-solving.
  • Ability to track inventory and implement efficient reorder systems.

Communication & Collaboration:

  • Excellent written and verbal communication skills.
  • Comfortable working cross-functionally with vendors, marketing agencies, and internal staff.
  • Ability to present creative ideas and contribute to brainstorming sessions.

Event & Vendor Management:

  • Experience in coordinating logistics for events, including setup, tear-down, and vendor relations.
  • Willingness to attend events outside normal work hours.
  • Physically able to move and manage event items (tables, banners, supplies).

General Skills:

  • Self-motivated, adaptable, and eager to learn.
  • Strong research skills to identify trends and new promotional opportunities.
  • Ability to work independently while supporting a collaborative team.

Preferred Qualifications

  • 1–3 years of experience in marketing, event coordination, or administrative support.
  • Familiarity with digital and social media marketing.
  • Previous experience in a healthcare or Personal Injury professional services setting (a plus).

Job Type: Full-time

Pay: From $20.00 per hour

Expected hours: No less than 40 per week
