Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations with Early Childhood Education. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management. This role involves providing exceptional customer service, managing administrative tasks, and ensuring the smooth functioning of day-to-day program operations. Bilingual skills are a plus, as well as experience with various office software and systems.

Duties

  • Greet and assist parents, visitors, and staff in a friendly and professional manner
  • Manage phone calls, emails, attendance, and general communication
  • Maintain student files, records, and compliance documents
  • Support enrollment, tours, and family onboarding
  • Assist with scheduling, calendars, and daily school operations
  • Coordinate supply orders, inventory, and office organization
  • Provide occasional support in classrooms as needed
  • Ensure confidentiality and adherence to all school and state licensing policies
  • Assist the administrative team with projects, events, and communications

Qualifications

  • Proven experience in an administrative or clerical role within an office environment
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Excellent written and verbal communication skills with professional phone etiquette
  • Ability to handle multiple tasks simultaneously while maintaining attention to detail
  • Experience with QuickBooks or bookkeeping is preferred but not required
  • Bilingual abilities are a plus to assist diverse client needs
  • Required: Experience working in an early childhood education setting (Montessori experience a plus)
  • Ability to multitask, prioritize, and work independently
  • Proficient with email, digital forms, and basic office software
  • Professional, warm, and welcoming demeanor
  • Ability to pass all background checks and meet state licensing requirements

Preferred Skills

  • Familiarity with Montessori philosophy
  • Experience with childcare management software (e.g., Procare, Brightwheel, etc.)
  • First Aid/CPR certification
