PAWS, the Philadelphia Animal Welfare Society, is seeking a strategic, experienced, and collaborative nonprofit finance professional dedicated to advancing PAWS' mission to make Philadelphia a place where every savable pet is guaranteed a home, and every pet owner has the support they need to keep their family whole.

General Position Summary:

The Finance Manager will play a pivotal role in overseeing PAWS' financial operations, ensuring the organization maintains financial health, compliance, and transparency. This position will be responsible for high-level financial management, including cash flow oversight, reporting, budgeting, and strategic financial planning. The ideal candidate will have a strong foundation in nonprofit accounting practices, and possess strong leadership skills and the ability to collaborate effectively with directors, managers, and staff from all departments to support the organization's mission.

Key Responsibilities:

  • Budgeting and Financial Planning:
  • Lead the development and management of organizational budgets, providing strategic insights and analysis on financial performance to identify areas for improvement and cost-saving opportunities.
  • Capital Campaign Support:
  • Monitor and report on financial performance related to capital campaigns, ensuring that financial targets are met and documented accurately.
  • Financial Operations Management:
  • Oversee cash flow management to ensure accurate tracking and reporting of all financial transactions, safeguarding the organization's financial assets.
  • Financial Reporting and Compliance:
  • Prepare and present accurate financial statements for the Board of Directors in collaboration with the Executive Director.

Develop, monitor, and report on departmental budgets, ensuring alignment with organizational financial goals.

Coordinate and support the annual financial statement audit, serving as the primary point of contact for auditors.

Coordinate and support the preparation and submission of monthly and annual organizational tax filings (sales tax, U&O, Form 990, BCO-10, etc.) to ensure compliance with regulations.

Monitor the accounting software (QuickBooks), investigate and resolve any discrepancies, and perform monthly close processes to ensure proper classification and recording of income and expenditures.

Maintain and ensure compliance with applicable laws, regulations, and organizational policies to uphold financial integrity.

  • Revenue Management:
  • Oversee the management of revenue streams, including fees, donations, and grants from various public and private sources, ensuring accuracy and timeliness in financial reporting, tracking, and deposit processes.

In collaboration with revenue-generating program leaders, analyze sources of income, areas of need/demand, and industry trends and best practices, and assist in identifying opportunities to maximize sustainability, efficiency, and use of resources.

  • Procurement and Supply Management:
  • Develop and implement purchase approval processes to ensure appropriate financial controls are in place.

Ensure staff members responsible for procurement adhere to budgetary guidelines and financial policies.

Regularly review pricing of products and services to ensure they are appropriate, given their cost and the organization's commitment to making care accessible, and recommend adjustments as needed.

  • Leadership and Team Collaboration:
  • Collaborate with department managers to ensure budgets, financial processes, and strategies are aligned with overall organizational goals and needs.

Qualifications:

  • Bachelor's degree in finance, accounting, business administration, or a related field.
  • Minimum of 5-7 years' progressive experience in nonprofit financial management.
  • Demonstrated high ethical standards and integrity in financial practices.
  • Strong analytical skills with the ability to interpret financial data and provide actionable insights.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively across departments.
  • Proven leadership skills, with experience in managing and developing a team.
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities appropriately.
  • Strong background in fund accounting, grant management, budgeting and forecasting, and financial reporting.
  • Mastery of QuickBooks.
  • Proficiency in Microsoft Office, Google Suite, and financial platforms, reporting tools, and cloud-based software (e.g. Salesforce, Ramp, and others).
  • Proficiency in, or willingness to become proficient in, the various shelter and clinic management systems utilized by PAWS (Clinic HQ, ShelterLuv, Airtable, and others).

  • Commitment to PAWS' mission to keep families together by providing veterinary care and other forms of support to pet owners who may not be able to access it otherwise, and to provide lifesaving opportunities to stray and surrendered animals, with the ultimate goal of a loving home for every savable pet.

Physical Requirements:

  • Allergic conditions that would be aggravated when exposed to animals may be a disqualification.

Hours:

This is an exempt position. PAWS is open seven days a week. A minimum of 40 hours per week is required. Daily schedule and hours may vary according to the needs of the organization. This position has the flexibility to work remotely, though time with staff at each location will be required periodically.
