Estate Accounting Manager

About the Role

We are seeking an exceptionally detail-oriented, assertive, and relentless Estate Accounting Manager to oversee the financial and operational accounting for multiple luxury residential and vacation rental properties across the U.S. and the Caribbean.

This is not your average accounting role. It requires precision, persistence, and a no-excuses mentality. The right candidate will be a bulldog for accuracy and accountability, with the confidence to question discrepancies, chase answers, and ensure every dollar is tracked, justified, and aligned with what's happening at each property.

This position is deeply connected to property management. You'll work hand-in-hand with property managers, vendors, and staff to verify work completed, reconcile charges, and support ownership with clean, timely, and defensible financials. A significant portion of the role involves international property management accounting, overseeing rental performance, vendor relationships, and local payments for luxury vacation rentals in the Caribbean.

Key Responsibilities

Property & Estate Accounting

  • Maintain accurate financial records for multiple entities, trusts, and properties across the U.S. and Caribbean.
  • Manage daily bookkeeping operations in QuickBooks Online (or similar), including journal entries, reconciliations, and intercompany transfers.
  • Reconcile all bank, credit card, and vendor accounts monthly. Zero tolerance for unresolved variances.
  • Oversee rental income tracking, VRBO/Airbnb payouts, occupancy taxes, cleaning fees, and property expenses.
  • Partner closely with property managers to ensure financial accuracy reflects operational activity.
  • Prepare property-level P&L statements, balance sheets, and cash flow reports for ownership review.
  • Support budgeting, forecasting, and performance reporting across all properties.
  • Implement and maintain systems for expense categorization, coding, and financial transparency.
  • Coordinate with external accountants, attorneys, and financial advisors for tax and audit-related matters.
  • Ensure financial controls are in place to prevent waste, overbilling, or unauthorized spending.

International Property Management Accounting

  • Manage all financial aspects of Caribbean short-term rentals, including bookings, payouts, and expense tracking.
  • Reconcile international banking and vendor accounts; ensure compliance with local regulations.
  • Coordinate with on-island property management teams to verify services, approve payments, and resolve discrepancies.
  • Oversee wire transfers, vendor invoices, and exchange-rate reconciliations.
  • Monitor rental profitability and report key metrics to ownership.
  • Act as an expeditor and problem solver, ensuring issues are identified, escalated, and resolved swiftly.

Vendor & Contract Oversight

  • Serve as the financial point of contact for vendors, contractors, and property managers across multiple jurisdictions.
  • Review invoices against proposals, contracts, and work completed; challenge any inconsistencies.
  • Negotiate credits or adjustments when overcharges or inefficiencies are identified.
  • Track deposits, retainers, and recurring service agreements.
  • Maintain vendor compliance documentation, including W-9s and insurance certificates.

Executive & Family Support

  • Handle select personal financial matters, reimbursements, and household staff payroll coordination.
  • Liaise with the family office, CPA, or trust manager to align reporting structures and records.
  • Maintain strict confidentiality in all personal and financial matters.

What We're Looking For

Must-Have Qualifications

  • Minimum 5+ years of accounting experience managing multiple entities or high-value properties.
  • Expertise in QuickBooks Online and Excel; strong understanding of double-entry accounting.
  • Experience with property management or short-term rental accounting (Airbnb, VRBO, etc.).
  • Proven ability to reconcile complex, multi-entity accounts with accuracy and speed.
  • Strong grasp of property operations. You can read an invoice, verify it in the field, and spot when something's off.
  • Relentless drive for accuracy and accountability; thrives under high expectations.
  • Excellent communication skills with vendors, managers, and executives; assertive yet professional.
  • Demonstrated long-term employment history showing loyalty and dependability.
  • High integrity and complete discretion when handling confidential information.

Preferred

  • Experience in property management, hospitality, or family office environments.
  • Familiarity with Caribbean property operations, including local vendor coordination and international payments.
  • CPA or bookkeeping certification preferred but not required.
