Facilities Manager

SUMMARY
The Operations Manager is responsible for the supervision and leadership of staff, housekeeping and maintenance, overseeing the maintenance of buildings and grounds at four sites. The Maintenance Technicians perform minor to moderate repair and construction, demolition, painting, and plumbing repairs. The Facilities Associates perform general housekeeping at all sites. The position works closely with other departments in the fulfillment of activities, events, and projects. The staff is comprised of eight full-time employees and two on-call.
DUTIES AND RESPONSIBILITIES
- Oversee the Facilities Department staff and contracted and non-contracted maintenance and cleaning
- Develop weekly staff schedules based on Museum needs and operations to ensure adequate coverage
- Prioritize work orders and delegate to staff
- Work closely with the Manager of Collections and Exhibitions and the Exhibition Designer with regard to future exhibitions, projects, builds and timeline
- Review department financial reports and provide variance explanations
- Monitor the progress of time sensitive repairs, demolitions, construction, and painting assignments
- Maintain vendor relations
- Review and approve timecards
- Address employee performance issues, counsel, and set goals
- Hold weekly staff meetings to discuss museum operations, events, cleaning updates
- Recruit, interview, orientation, and training of new hires
- Review and submit invoices for payment; monthly credit card reconciliation
- Review and approve utility bills for three sites
- Request proposals for projects and coordinate the work schedule of approved services with senior management and vendors
- Monitor HVAC daily, throughout the day on computer controls system and place service calls as needed
- Post Frey House reservations to the Master Calendar
- Attend weekly multi-department meetings
- Order tools, equipment, janitorial, office and general use supplies
- Schedule equipment service and repairs
- Collect Certificates of Insurance from vendors and post to the shared drive
- Arrange for the rental of equipment to be used during exhibition construction and installations
- Provide estimated labor costs for exhibition demolition, construction, and painting
- Arrange for staff scissor lift and forklift training and certification
- Submit employee driver's license to insurance carrier to authorize as a museum vehicle driver
- Assist with set-ups and strikes during events
- Prepare the Frey House for overnight guests: pre-inspection, setup, post cleaning
- Liaison between the City of Palm Desert Community Services Manager and the Museum pertaining to tree trimming at the sculpture garden in Palm Desert and other activities or issues relative to same
- Notify the State Department of Industrial Relations when elevator permits are near expiration date
- Schedule the non-routine landscaping and gardening needs at four sites
- Oversee housekeeper, gardener and pool service tech at the Frey House
- Oversee a crew of volunteer gardeners
QUALIFICATIONS AND REQUIREMENTS
- Ability to lead and supervise
- Excellent time management and organizational skills
- Must have strong written and verbal communication skills
- Ability to handle multiple assignments and deadline driven projects simultaneously
- Adaptable and versatile to changing circumstances and situations
- Proficient use of a computer and related office equipment
- Familiarization with the development of an annual operating and capital budget
- Ability to read and interpret income statements and general ledger reports
- Actively support an environment of teamwork, cooperation, and service excellence
- After hours, respond promptly to texts, calls or emails pertaining to areas needing immediate attention
- Available after hours in the event of an emergency
- Other duties as assigned or needed
PHYSICAL REQUIREMENTS
- Travel to other Museum sites to assess maintenance and cleaning needs or requirements
- Ability to work on feet for extended periods of time
- On site during major events and other activities
- Use of company vehicle
- Ability to lift up to 35 pounds
- Valid Driver's License must be maintained at all times
Compensation and Benefits:
The Museum provides a competitive salary and benefits package; including: medical and dental insurance (HMO and PPO options), vision, life insurance, and Aflac options. After six months employees are eligible to participate in the 401 (k) plan. We also offer vacation pay, generous paid holidays and paid sick leave, as well as free membership in the Museum.
