Job Summary
We're seeking a highly organized and proactive
Executive Assistant
to support our executive leadership team. This role is ideal for a resourceful professional who thrives in a fast-paced environment, anticipates needs before they arise, and maintains the highest standards of confidentiality and professionalism. The Executive Assistant will play a key role in optimizing executive productivity, coordinating key initiatives, and ensuring seamless communication across the organization.
Roles And Responsibilities
- Provide comprehensive support to Visual Edge IT's executive leadership team.
- Manage complex calendars, schedule meetings, and coordinate detailed travel plans and itineraries.
- Serve as a liaison between executives and internal/external stakeholders, including board members, investors, and senior leaders.
- Support communication initiatives by drafting and distributing internal communications.
- Process expense reports, credit card reconciliations, and vendor invoices.
- Plan and coordinate company-wide events, including space rental, hotel and travel arrangements, catering, and transportation logistics.
- Oversee Corporate Facility, office moves, equipment installations, and other internal projects in collaboration with internal and external stakeholders.
- Monitor and maintain office supply and equipment inventory, placing orders as needed.
- Record, distribute, and track meeting action items, ensuring timely follow-up and accountability.
- Assist with administrative and special projects as assigned, providing high-quality documentation, presentations, and reports.
- Other duties as assigned.
Required Skills / Experience
- High School Diploma or GED required; Bachelor's degree preferred.
- Minimum of 5 years of experience supporting C-suite executives in a professional environment.
- Experience supporting board-level activities is highly desirable.
- Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent written and verbal communication skills.
- High emotional intelligence and professional judgment, with the ability to handle confidential information discreetly.
- Proven ability to manage multiple priorities and adapt quickly to shifting demands.
- Demonstrated problem-solving skills and meticulous attention to detail.
- Team-oriented, proactive, and capable of anticipating executive needs before they arise.
- Availability outside of standard business hours may occasionally be required.
