Job Description for On-Site Building Managers

The On-Site Building Manager serves a critical role in taking care of the building, seeing to tenant concerns, supporting the Board of Directors with reports and recommendations, create, to as great an extent as possible, a safe and peaceful atmosphere, assure that contractors for the building perform their work safely and in keeping with Contractor/Vendor rules of behavior.

ADMINISTRATIVE DUTIES

  • Schedule move in and move outs
  • Conduct new resident building orientation and general review of the rules
  • Prepare and schedule the North elevator for any move in/move out or large item deliveries to a unit (managers are discouraged from assisting in any moves beyond their assigned duties as stated above)
  • Sell and program garage door openers and turn in any payment to the Property Manager, Associa of Colorado
  • Sell and program building entry door fobs
  • Provide any building credit card receipts for materials/items purchased by the Building Managers for use in or on the building
  • Turn in any Contractor/Vendor paperwork to Associa as applicable
  • Compose and post building notifications as determined by the building manager or directed by the Board of Directors
  • Prepare daily work reports and task check lists
  • Respond to any resident submitted requests for repairs as it relates to anything inside the building common areas or the outside grounds
  • Any and all other paperwork, research or reports as required or requested by the Board of Directors.

MANAGEMENT DUTIES

Oversee building vendors or contractors to assure they are being responsive to the quality of services we have contracted for and are working within the rules of the HOA for vendors and contractors. Including, but not limited to:

  • Trash services
  • Recycle services
  • Water Treatment services
  • Laundry facilities
  • Level 1 vending machine vendor
  • Building Wifi Services
  • Snow removal services

MANAGEMENT DUTIES CONT'D

  • Elevator services (both monthly maintenance and when elevator down time occurs)
  • Landscape and gardening services (tree trims, annual yard plugging, any other specialty land work as required)
  • Bi-Annual window washing Contractor
  • Bi-Annual garage cleaning Contractor
  • Annual carpet cleaning
  • Maintain good relationships with our vendors and provide information if there is such a time that any conflict arises due to poor performance
  • Notify Board if contractor/vendor reports payment not received from out management company

SPECIAL PROJECTS

From time to time, the HOA will contract out work for special projects to improve, upgrade or repair major components of our building. During those projects, the managers shall:

  • Attend all meetings with the contractor during the design and bidding stages
  • They will assure any applicable contractor is aware of the building rules and will provide the contractor with all access and any building information they might need and assure they are abiding by the rules for contractors/vendors working in the building
  • Whereas the managers are not responsible for the installation complying with the design or code or technical requirements of the project they will review project work daily and document and report any irregularities they believe may be occurring and report it to the Board of Directors.
  • Attend project walks with the Board, designer and contractor as applicable.

DAILY WORK PROJECTS/CHECK LIST- INTERIOR OF BUILDING

  • Clean public restrooms on level 1
  • Clean fitness room and restroom
  • Clean laundry room
  • All common area floors in corridors should be vaccumed and mopped over the course of a week
  • All tile on level 1 and each floor should be mopped weekly
  • Glass cleaning at East and West Entries should be done daily or as needed
  • Empty mailroom recyclable trash as needed
  • Empty restroom and laundry room trash as needed
  • Keep office clean and organized
  • Keep maintenance closets, boiler room, building storage rooms and elevator machine room cleaned

DAILY WORK PROJECTS/CHECK LIST – INTERIOR OF BUILDING CONT'D.

  • Clean swimming pool room and maintain chemical treatments and testing as applicable
  • Check all common area lighting to assure it is functioning and replace lamps as applicable
  • Review both garage levels daily and pick up an trash and report any parking space in violation of our policy regarding the requirements of maintaining park spaces, bike storage and etc.
  • Empty trash containers in the two garage levels daily.
  • Sweep/mop stairwells at least once per month

DAILY WORK PROJECTS/CHECK LIST – EXTERIOR OF BUILDING

  • Daily walk the building grounds and remove all trash to a proper container.
  • Keep all drains cleared of debris so that water is evacuated as needed
  • Report any balcony violations that are observed
  • Maintain all moving, edging, bush trimming, sweeping, trash pick up and curbed areas swept and clean looking
  • Keep East and West entries impeccably clean and maintained.

SECURITY

  • In no way shall any manager be required to put their safety and well being in jeopardy in the attendance to or prevention of a security issue in the building.
  • Managers are required to call authorities if a case of any nature should occur.
  • Managers shall assure that any surveillance equipment is working properly and shall recommend additions to that equipment as applicable
  • Managers shall provide all information available to authorities to assist in any criminal investigation

GENERAL AND OTHER

  • Address concerns of residents and report to and/or report to Board if the concern goes beyond a reasonable solution
  • A manager does a 24 hour shift and is responsible for any building issue during that shift time. However, a manager may need to contact the other manager for help in certain emergency situations. Both shall be compensated additionally for any work required once their 10 hour shift is complete.

GENERAL AND OTHER CONT'D

  • Any over time shall be approved for any time over 40 hours worked in a 7 day period at a rate of time and on half of a manager's hourly rate
  • Managers shall make any repairs they feel they are comfortable to make given their skill set.
  • Managers may contract with residents to do extra work specifically for them. However, this shall be above and beyond their duties as an On-site building manager and shall not be considered part of the duties required by our building managers. Nor shall that work be performed during a manager's regular duties.

Job Type: Full-time

Pay: $50, $55,000.00 per year
