Sales Administrative Assistant

The Sales Administrative Assistant ensures that the Sales Department operates efficiently and effectively. This proactive role handles routine tasks, anticipates needs, and supports communication across the team, helping the department focus on building relationships and closing sales.

In addition to supporting Sales, the position provides a professional and friendly first impression to customers, serving as a key point of contact in person, by phone, and via email.

This role also offers opportunities to collaborate across departments, develop new skills, and contribute directly to the overall success of Dapper Ink.

Primary Responsibilities

1. Sales Department Workflow Support

Proactively supporting the Sales team by managing recurring tasks, streamlining communication with other departments, and assisting with client account maintenance and development, including:

  • Helping maintain the annual Sales Calendar.
  • Maintaining and updating the Sales team's cold-call/mailing list while re-engaging dormant accounts to help keep client relationships active.
  • Proactively reaching out to potential leads by email or phone to introduce Dapper Ink's products and services, support the Sales team's pipeline, and uncover new opportunities.
  • Assisting Account Managers with special projects, mock-up requests, and order entry.
  • Tracking inquiry response times and error rates to support continuous improvement.
  • Overseeing embroidery orders from start to finish, including ordering, tracking, and handling pickups/deliveries with outsourcing partners.
  • Collaborating with the Production Department to maintain job records and printed samples.
  • Keeping the sample room organized, maintaining sample inventory, and ensuring it is always customer-ready.
  • Working weekend events as needed (average 8–10 per year).

2. Front Office & Client Communication Support

Creating a warm, professional, and helpful first impression for all customers, whether in person, by phone, or via email including:

  • Monitoring the inquiry inbox, phone lines, and front door.
  • Providing accurate company information and directing inquiries to the appropriate Account Manager.
  • Answering calls, taking messages, and forwarding communication promptly.
  • Greeting walk-ins, coordinating order pickups and drop-offs, and delivering orders to customers as needed.

3. Company-Wide Administrative Support

Helping Dapper Ink operate smoothly across departments by:

  • Assisting other teams with special projects as needed.
  • Supporting Operations during peak seasons with sorting, folding, and packing.
  • Maintaining the office and common spaces, including watering plants, keeping areas tidy, and managing kitchen upkeep.
  • Assisting in planning and executing internal company events, including ordering food and supplies, securing venues, and managing setup/teardown.
  • Communicating general announcements to the team such as new hires, birthdays, anniversaries, maintenance updates, and event reminders.

  • Ability to lift up to 30 lbs.
