The Marketing Operations Coordinator plays a vital role in ensuring the efficiency, consistency, and performance of Ally Medical ER's marketing efforts across all channels. This position bridges marketing strategy and execution, supporting outreach, data tracking, vendor coordination, and performance reporting. The ideal candidate is detail-oriented, analytical, and eager to help streamline marketing processes that drive brand visibility and community engagement.

Requirements:

Marketing Activity Management

  • Support Community Outreach Coordinators by tracking outreach activities, maintaining accurate documentation, and ensuring timely delivery of marketing resources and promotional materials.
  • Coordinate and organize Ally Medical ER's marketing initiatives across digital, print, out-of-home (OOH), and in-person channels, ensuring consistency and alignment with brand standards.
  • Maintain project timelines, ensuring all campaigns and community events are executed smoothly and on schedule.

Data Tracking & Reporting

  • Monitor and manage marketing budgets, including tracking spend, reconciling invoices, and supporting financial reporting.
  • Maintain organized, up-to-date records of marketing performance using Excel, Google Sheets, and other analytical tools.
  • Develop and distribute performance dashboards and KPI reports that summarize campaign effectiveness, ROI, and engagement trends.
  • Collaborate with marketing leadership to prepare presentations, insights, and reports for senior management.

Vendor & Partner Coordination

  • Liaise with external vendors, agencies, and partners to support marketing execution — including ordering materials, managing creative production, and ensuring deliverables meet expectations.
  • Assist with maintaining vendor contracts and ensuring all activities comply with company guidelines and brand standards.

Process Optimization

  • Identify and contribute to process improvements that enhance tracking, reporting, and operational efficiency across marketing workflows.
  • Help standardize documentation, file organization, and communication protocols within the marketing department.

Required Skills/Abilities:

  • Proficient in Excel/Google Sheets, with the ability to design and manage reports, track budgets, and create performance dashboards.
  • Strong data analysis skills, with the ability to interpret metrics and communicate actionable insights.
  • Excellent organizational skills and meticulous attention to detail.
  • Strong interpersonal and communication abilities, with a collaborative approach to teamwork.
  • Resourceful and proactive, with the ability to anticipate needs and solve problems independently.
  • Familiarity with digital marketing platforms (e.g., social media, paid search, email marketing) and traditional media channels is a plus.
  • Experience with CRM or marketing automation tools (such as HubSpot, Salesforce, or similar) preferred but not required.

Education and Experience:

  • Bachelor's degree in Marketing, Communications, Business, or a related field — or equivalent relevant experience.
  • 1–2 years of experience in marketing operations, campaign coordination, or data analysis (internship or entry-level experience acceptable).

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • All employees of Ally are responsible for complying with all privacy and security laws and internal policies and procedures. You will play an active role in protecting the company's sensitive data and ensuring that our patient's information is treated with the utmost care and confidence. You are responsible for reporting any concerns or infractions that you become aware of so that the company may appropriately address them.
  • You are responsible for protecting the credentials provided to you to access Company (and customer, where applicable) networks, systems, and data.
  • You are responsible for maintaining the confidentiality of all Ally and customer data to which you are granted access. Any suspected compromises of Ally proprietary data or customer data must be reported to Management immediately.
  • You will adhere to the Company's Information Security Policy and Procedures and support standard operating procedures to protect Company systems and data.
  • You will alert management immediately with any expected system or data compromises and/or system failure impacting the security, confidentiality, availability, and integrity of Ally Medical and customer data.
  • You will be required to attend an annual Information Security Awareness Training.
