Entertainment. In each line of business, we provide clients with the creative ideas, project
management rigor, and production expertise to deliver world-class experiences and music
concerts across the globe.
The Group includes five agencies: TBA, TBA US, Velocity, VHE and Top Banana.
Our expertise for each line of business includes:
Sport
– Our expertise across sports and motor sport includes working with some of the world's
largest organizations and rights holders to consult on and deliver premium hospitality, guest
management programmes, sponsorship activations, racing, fan zones, touring kits, and opening
ceremonies.
Brands
– Our team understands that creativity has no boundaries. We are forever striving to
provide clients with the brightest ideas to help solve business problems. Our Brands team works
closely with leading global brands to deliver both B2B and B2C experiences including
conferences, product launches, award ceremonies, exhibitions, and parties.
Entertainment
– Our entertainment arm brings the best global talent and spectacular largescale production values into the corporate world. Our team has conquered some of the most
technically challenging briefs to produce spectacular live shows and touring music concerts.
Adminisrative Lead & Team Support (Accounts)
Located at TBA US Inc.'s Los Angeles office (Industrious, 1925 Century Park East, Suite 1700, Los
Angeles, California 90067)
Account Executive:
The Account Executive will have the opportunity to work across all aspects of TBA US, helping and reporting to several key individuals within the business. Their work will focus on supporting on the day-to-day running of accounts, support and manage TBA clients, aiding briefs and the RFP (Request for Proposal) processes, working with the finance and accounts department, being on-site for live events and the overall needs of the business.
Key responsibilities of the role include:
Client Management
• Support Leadership and Head of Business – help escalate urgency and response time
between meetings and client follow ups
• Manage and attend client meetings and calls, providing timely follow-ups to keep
momentum between client meetings
• Create accurate and timely action-led contact reports for pre & post-meeting both
internally and externally
• Maintain awareness and visibility of clients' business and activities to be able to talk
knowledgeably with the intent to start to developing relationships to manage
independently
Budget Management
• Support and aide the Account and Production team in the developing and
assembling of budgets for pitches and projects across the business
• Learn and interface with company's financial software and processes, including
Procim, additionally raising POs, setting up suppliers, and processing expenses
• Manage and report costs accurately from vendors & suppliers across the business
Logistics
• Lead and own the day-to-day admin of the office, communicating and interfacing
effectively to different departments to ensure support
• Research and negotiate with venues, suppliers, and other areas of pitch and project needs
• Attend site visits and create reports
• Assist with the coordination of onsite staffing, including drafting briefing
documents
• Crew logistics – work closely with the Production team to secure appropriate hotel
accommodation, flights, and catering for onsite crew.
Pitch /Project/ Production
• Support in the overall RFP/RFI process – from development to presentation with oversight
from internal teams
• Maintain a pulse on client's work – ensuring we are staying ahead of trends
• Provide weekly reports on potential upcoming RFPs and opportunities
• Support Account Mangers & Directors to liaise with vendors and suppliers regarding
on-site needs and support to ensure budgets are being updated and reflected
accurately throughout the delivery process
• Assist onsite and support the Production team in the event delivery, fulfilling specific
roles as required
Other
• Update and manage TBA US accounts: LinkedIn, Socials, and SharePoint, ensuring all
documents, pitches, and other items are being properly organized
• Ability to build presentation decks, while helping to manage and update our case study
matrix to easily identify project activity
• Book couriers and receive courier deliveries
• Support any office housekeeping
Essential Skills/Qualifications:
• A bachelor's degree in relevant field from an accredited college or university
• Minimum 2+ years' experience in similar agency landscape (sports, brands and/or
entertainment industry preferred)
• Up-to-date knowledge of the sports, brands and entertainment industry
• Must be able to multi-task and self-manage to meet deadlines and handle multiple
priorities
• Must be flexible and comfortable to assume multiple roles as needed by the team
• Must be proficient in Microsoft Suite, particularly with Word, PowerPoint, and Excel
• Must have a self-starter and hungry mentality
• Possess exceptional written and oral communication skills
• Be well-presented at all times, and confident in a corporate environment dealing with
senior business leaders
• Strong attention to detail and highly organized
• Comfortable with extended days/nights, especially during busy periods of pitch and event
delivery
• A team player who is dedicated and enthusiastic about events
• Willingness to travel when necessary
