Overview

We are seeking a highly organized and proactive Business Office Manager to oversee the daily operations of our office. The ideal candidate will have a strong background in office management, excellent communication skills, comprehensive accounting and bookkeeping skills, and the ability to effectively work in a fast-paced team environment. This role requires a highly detail-oriented individual who can handle multiple tasks while maintaining a positive work environment. The Office Manager will be responsible for ensuring that all administrative functions run smoothly and efficiently.

Duties

  • Manage daily office operations, including clerical tasks and administrative support.
  • Coordinate with team to understand scheduling as it relates to billing and timecard assignments.
  • Manage payroll processing and human resources functions.
  • Maintain accurate bookkeeping and budgeting records using QuickBooks.
  • Run ad hoc reporting from QuickBooks and other software programs such as Google Sheets and Microsoft Excel to provide clarity in accounting to leadership and CPA
  • Develop, maintain and enforce company policies and procedures.
  • Provide client service support, including communicating with clients regarding billing and scheduling.
  • Handle difficult clients with grace and diplomacy.
  • Organize filing systems and maintain an efficient record management process.

Requirements

  • Proven experience in office management or similar administrative roles.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent communication skills, both verbal and written.
  • Strong skills in QuickBooks for financial management, bookkeeping and HR related tasks.
  • Ability to discuss financial reports with CPA and leadership
  • Proficiency in schedule management and calendar coordination.
  • Ability to maintain professionalism in phone etiquette and customer interactions.
  • Previous experience with budgeting processes is preferred.
