Job Overview
We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and ensuring smooth office operations. This role requires strong communication skills, proficiency in office management tools, and the ability to handle multiple tasks efficiently. Bilingual abilities are a plus. The Receptionist will play a vital role in maintaining a welcoming environment and supporting administrative functions across various departments.
Duties
- Greet visitors and clients warmly, ensuring a positive first impression
- Manage multi-line phone systems, directing calls appropriately and taking detailed messages
- Handle front desk responsibilities including scheduling appointments and managing calendars
- Perform data entry, filing, and document proofreading to maintain accurate records
- Utilize Microsoft Office, Google Workspace, and QuickBooks for administrative tasks
- Support office management activities such as organizing files, managing supplies, and assisting with bookkeeping
- Provide customer support via phone, email, or in person, demonstrating excellent phone etiquette
- Assist with clerical duties including typing correspondence, managing emails, and supporting administrative projects
- Maintain a clean and organized reception area to ensure a professional environment
- Support personal assistant tasks or medical/dental receptionist duties as needed
Skills
- Strong computer literacy with proficiency in Microsoft Office, Google Workspace, and data entry software
- Excellent organizational skills with the ability to prioritize tasks effectively
- Experience with multi-line phone systems and front desk operations
- Bilingual communication skills are highly desirable for diverse client interactions
- Previous office management or clerical experience preferred
- Exceptional customer service skills with professional phone etiquette
- Attention to detail for proofreading documents and managing schedules accurately
- Ability to handle multiple responsibilities simultaneously while maintaining professionalism
- Familiarity with bookkeeping or QuickBooks is a plus
- Strong time management skills to meet deadlines efficiently
