Duties

• Greet patients warmly upon arrival, verify insurance coverage, and collect necessary documentation to facilitate seamless check-in processes.
• Schedule appointments accurately using EMR (Electronic Medical Records) systems such as Epic, Meditech, or Athenahealth, ensuring optimal clinic flow.
• Answer multi-line phone systems with professionalism and courtesy, directing calls appropriately and managing patient inquiries effectively.
• Maintain and update patient records meticulously within various EHR (Electronic Health Record) systems, including eClinicalWorks or Dentrix, adhering to HIPAA regulations for confidentiality.
• Verify insurance benefits and perform insurance verifications for Medicare and private payers to streamline billing processes.
• Assist with medical billing and coding tasks by applying CPT (Current Procedural Terminology), ICD-10/ICD-9 codes, and medical terminology to ensure accurate claim submissions.
• Support clinical staff with intake procedures, documenting patient histories, and updating care plans in compliance with health information management standards.
• Manage filing of medical records and organize documentation review processes to uphold clinic efficiency.
• Handle administrative duties such as data entry, typing reports with 10-key accuracy, and maintaining office supplies inventory.
• Demonstrate excellent phone etiquette and customer service skills to foster a welcoming environment for patients and visitors.
• Utilize office management software like Eaglesoft or Dental Office Management systems to streamline operations.
• Assist with front desk responsibilities including appointment reminders, patient check-out procedures, and handling billing inquiries with clarity and professionalism.

Experience

• Prior clinic experience in a healthcare setting is highly preferred; experience in chiropractic offices or dental clinics is advantageous.
• Strong knowledge of medical collection processes, medical billing procedures, and insurance verification protocols.
• Familiarity with EMR/EHR systems such as ChiroTouch for efficient documentation management.
• Proficiency in medical coding including CPT codes and ICD coding (ICD-10/ICD-9) to support accurate billing and compliance efforts.
• Demonstrated understanding of HIPAA regulations to ensure patient privacy and data security are maintained at all times.
• Bilingual abilities are a plus to serve diverse patient populations effectively.
• Excellent computer skills including Microsoft Office Suite (Word, Excel), typing skills (10-key), and experience with health information management software are required.
• Strong organizational skills with attention to detail in filing, documentation review, and administrative support tasks.
