Position Overview:

We are seeking a highly motivated and personable Patient Care Coordinator to join our dynamic team at our medical spa and plastic surgery practice in Bellevue, WA. The ideal candidate will be the first point of contact for our patients, ensuring an exceptional experience from the moment they inquire about our services to their post-treatment follow-up. You will work closely with both patients and our clinical team, helping to guide patients through their treatment journey with professionalism, warmth, and a dedication to creating lasting relationships.

Key Responsibilities:

  • Patient Interaction: Provide a welcoming, caring, and informative environment for all patients. Engage with patients in-person, over the phone, and via email to answer questions, schedule consultations, and provide support throughout their treatment process.
  • Appointment Scheduling: Manage patient appointments efficiently and ensure smooth scheduling for consultations, treatments, and follow-up visits, balancing patient needs with provider availability.
  • Patient Education: Offer clear and helpful information about procedures, treatments, and pre- and post-care instructions. Ensure patients feel confident and informed about their choices.
  • Relationship Building: Establish and maintain positive, long-term relationships with patients to encourage loyalty and repeat visits. Act as a trusted liaison between the patient and clinical team.
  • Multitasking: Manage multiple responsibilities at once, including answering phones, scheduling appointments, checking in patients, processing forms, and assisting with patient inquiries.
  • Attention to Detail: Accurately enter patient information into our systems, including treatment plans, and patient preferences. Ensure all information is up to date and correct.
  • Team Collaboration: Work seamlessly with our team of medical professionals, aestheticians, and other staff to ensure the highest level of patient care and smooth practice operations.
  • Customer Service: Handle patient concerns with empathy and professionalism, ensuring a positive experience even when issues arise.
  • Administrative Support: Assist with office organization, including managing patient records, processing billing, and supporting other administrative tasks as needed.

Qualifications:

  • Experience: Minimum of 1-2 years in a medical office, healthcare setting, or related customer service role. Previous experience in a plastic surgery or medical spa environment is preferred.
  • Personality: Friendly, outgoing, and approachable with a natural ability to connect with others. A warm demeanor and a genuine interest in helping people is essential.
  • Professionalism: Strong professional appearance and demeanor, with the ability to handle sensitive situations with tact, discretion, and empathy.
  • Skills:
  • Excellent verbal and written communication skills.
  • Strong organizational skills and ability to multitask in a fast-paced environment.
  • Proficient with office software and medical practice management systems (experience with electronic medical records (EMR) a plus).
  • Attention to Detail: Ability to manage patient information accurately and thoroughly, with an emphasis on accuracy and confidentiality.
  • Team-Oriented: Ability to collaborate effectively with staff and work towards team goals while fostering a positive workplace culture.
  • Flexibility: Ability to work varying hours as needed, depending on patient demand and practice needs.
