Responsibilities

  • Manage the complete lifecycle of vehicle titles, including processing new titles, transfers, lien releases, and registrations with precision and timeliness.
  • Verify all documentation for accuracy, completeness, and compliance with state and federal regulations.
  • Maintain meticulous records of all title transactions using computer software such as QuickBooks and Microsoft Office applications.
  • Coordinate with DMV offices, insurance agencies, and other external entities to ensure smooth processing of title-related requests.
  • Handle incoming calls via multi-line phone systems with professionalism, providing excellent customer support and information regarding title status or documentation requirements.
  • Assist at the front desk by greeting visitors, managing appointments, and supporting office management tasks to ensure a welcoming environment.
  • Perform data entry tasks efficiently, including updating databases, filing physical documents, and proofreading correspondence for accuracy.
  • Support bookkeeping activities related to vehicle transactions and maintain organized filing systems for easy retrieval of documents.
  • Utilize Google Workspace tools for collaboration, calendar management, and document sharing to keep operations running smoothly.
  • Demonstrate exceptional phone etiquette while managing inquiries from clients, vendors, or team members in a bilingual capacity if applicable.
  • Prioritize tasks effectively through strong time management skills to meet deadlines consistently in a busy office setting.

Skills

  • Proficiency in QuickBooks for financial recordkeeping related to titles and transactions.
  • Strong office management abilities with experience in clerical tasks such as filing, proofreading, data entry, and document organization.
  • Excellent computer literacy across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for seamless communication and documentation.
  • Demonstrated experience in front desk operations or as a medical/dental receptionist with exceptional customer service skills.
  • Skilled in handling multi-line phone systems with professionalism and courtesy while maintaining efficient communication flow.
  • Bilingual capabilities are highly desirable to serve diverse client needs effectively.
  • Knowledge of office procedures including calendar management, appointment scheduling, and time management strategies.
  • Experience with office equipment such as printers, scanners, and fax machines is preferred.
  • Attention to detail in proofreading documents to ensure accuracy before submission or filing.
  • Familiarity with medical or personal assistant responsibilities is a plus for supporting various administrative functions within the office environment.
