Accounts Receivable (AR) Specialist

Advanced Commercial Painting, LLC is seeking a full-time Accounts Receivable (AR) Specialist to join our growing team. The ideal candidate will have prior experience in construction or commercial services accounting, strong attention to detail, and the ability to work independently while managing multiple deadlines. This role plays a critical part in maintaining accurate receivable records and supporting day-to-day office operations.

Position Overview

The Accounts Receivable (AR) Specialist is responsible for managing ACP National's day-to-day transactional finance activities, including invoicing, collections, vendor coordination, and bank deposits.

Role Purpose

To ensure money received, deposited, paid, and recorded accurately while supporting clean financial records and maintaining strong vendor and customer relationships.

Key Responsibilities

Accounts Receivable

  • Issue customer invoices, including AIA billings prepared by AR and reviewed by Financial Ops
  • Track receivables and manage collection efforts
  • Apply customer payments accurately
  • Maintain and monitor accounts receivable aging schedules

Bank Deposits

  • Prepare and record bank deposits (checks, wires, ACH)
  • Ensure deposits are correctly applied to customer accounts
  • Coordinate with the CFO on cash positioning and reporting

Accounts Payable Coordination

  • Communicate payment status and customer receipts to the Accounts Payable team
  • Coordinate timing of vendor payments based on client payment activity
  • Support resolution of vendor payment inquiries related to customer collections

Bill Processing Support

  • Assemble invoicing for approval
  • Ensure all invoices include proper documentation prior to submission
  • Maintain accurate AR audit trails
