General Job Description
The Monitoring & Evaluation (M&E) Coordinator will support the functions of TRP's M&E division within the Administration and Compliance Department. M&E's functions include coordinated support for TRP's Salesforce CRM and integrated platforms; program and client data collection, management, and analysis; and design and evaluation of programs and processes. The Coordinator will work closely with members of the M&E team, the Salesforce Administrator, and consultants to ensure the timely completion of projects; improve the quality and accuracy of data collected and stored in TRP's Salesforce CRM; assist Salesforce users from TRP and partner agencies; and support the Director of M&E with project planning, managing service requests, and administrative tasks. This role focuses on day-to-day data stewardship, request intake and tracking, reporting support, and user enablement; Salesforce system configuration and architecture decisions remain with the Salesforce Administrator and M&E leadership.
Primary Job Duties and Responsibilities:
Data Quality & Governance (approx. 35% of role)
· Implement and encourage best practices for data management in TRP's Salesforce CRM, including routine data quality checks for completeness, accuracy, and consistency across programs.
· Regularly identify and merge duplicate records; flag systemic issues and propose process improvements to improve data uniformity across TRP programs.
· Maintain and reinforce standardized data definitions and entry practices (e.g., required fields, naming conventions); identify redundant or under-used fields and recommend clean-up to M&E leadership and the Salesforce Administrator.
· Maintain confidentiality and follow TRP data privacy and security practices when handling client, participant, and program data.
Request Intake & Project Coordination (approx. 30% of role)
· Manage the intake, tracking, and follow-through of M&E support requests, recurring tasks, and special projects; clarify requirements, route work appropriately, and escalate risks early.
· Create and maintain project timelines; proactively communicate status, dependencies, and schedule risks to staff and partners.
Reporting & Impact Support (approx. 20% of role)
· Coordinate data submissions for quarterly reports and strategic plan reporting; validate completeness and accuracy, reconcile discrepancies with program teams, and assemble reporting outputs.
· Partner with TRP service areas to bring data from other databases (including spreadsheets) into TRP's Salesforce CRM in alignment with established data standards.
Training & User Enablement (approx. 15% of role)
· Coordinate with Salesforce Administrator on requests for new user accounts; provide onboarding communications and schedule Salesforce trainings for new users.
· Provide staff and partners with trainings, one-on-one assistance, and technical support as needed; develop and maintain job aids and documentation.
· Manage quarterly meetings between M&E and Salesforce user teams by scheduling recurring meetings, creating and distributing agendas, and taking and sharing notes and action items post-meeting.
Administrative & Professional Responsibilities
· Support the Director of M&E with voucher submissions and cost allocation of expenses related to Salesforce and integrated apps.
· Maintain required job skills and core professional competencies.
· Perform other duties as assigned.
Performance Measures
· Accurate CRM data entry and adherence to data standards (correct objects, records, and fields; minimal errors identified through routine QA).
· Demonstrated improvements in data quality for agreed data elements (higher completeness and accuracy; reduced duplicate records; and reduced redundant or under-used fields).
· Service request and project tracking is current and reliable; timelines are created and adhered to, and staff and partners are informed promptly when work is at risk of missing deadlines.
· Quarterly reporting deliverables are produced on time with validated data and minimal rework.
· The M&E division is regarded as a valuable partner to TRP staff; staff and partners report trainings and support are timely, clear, and helpful.
