The Role:

As an Automotive Warranty Administrator at Huntington Jeep Chrysler Dodge Ram, your primary responsibility is to oversee and process warranty claims efficiently, accurately, and in full compliance with manufacturer standards. You will serve as the critical link between technicians, service advisors, and manufacturers ensuring proper documentation, timely submission, and optimal reimbursement. This role is essential in protecting dealership revenue, maintaining compliance, and supporting our service team with warranty expertise.

Your Impact:

The primary functions of this role include, but are not limited to:

  • Review, prepare, and submit manufacturer warranty claims accurately and on time.
  • Ensure all warranty documentation complies with manufacturer standards and internal policies.
  • Monitor the status of claims, follow up on rejections, and resolve discrepancies to maximize reimbursement.
  • Communicate with service technicians and advisors to clarify repair documentation, labor times, and diagnostic procedures.
  • Review Witech reports, technical bulletins, and diagnostic documentation to validate claim eligibility.
  • Manage recalls, safety campaigns, and necessary documentation processing.
  • Support dealership leadership and service team by providing warranty-related guidance and updates.
  • Maintain internal warranty controls to support audit readiness and reduce financial risk.
  • Track and report claim performance, trends, and reimbursement outcomes to management.
  • Assist in training service department staff on warranty procedures, documentation best practices, and compliance updates.

In summary, an Automotive Warranty Administrator ensures accurate and compliant warranty processing, maximizes reimbursements, and provides critical operational support to the service department. By managing claim performance and maintaining strong internal controls, you will help safeguard profitability and uphold manufacturer standards.

Who You Are:

  • Strong attention to detail and high level of accuracy in documentation.
  • Excellent communication and collaboration skills with technicians, advisors, and manufacturers.
  • Proficient computer skills, including warranty portals and dealership management systems (similar).
  • Knowledge of warranty compliance guidelines, documentation procedures, and audit readiness.
  • Able to interpret repair orders, diagnostic reports, technical bulletins, and recalls.
  • Organized, proactive, and able to manage multiple claims and deadlines.
  • Self-motivated, reliable, and accountable.
