We are seeking a Chief Operations Officer (COO) to oversee all aspects of firm operations, including finance, administration, human resources, technology, and overall organizational performance. The COO will play a pivotal leadership role in scaling our firm's infrastructure, enhancing profitability, and ensuring operational excellence as we continue our rapid growth trajectory.
Key Responsibilities
Strategic Leadership
- Partner with firm leadership to execute the firm's strategic growth plan, identify new opportunities, and drive innovation across all departments.
- Develop, implement, and continuously refine firmwide systems, processes, and performance metrics.
- Lead cross-departmental initiatives to improve workflow efficiency, profitability, and client service.
- Oversee and mentor firm managers, fostering a culture of collaboration, accountability, and high performance.
Financial Oversight
- Prepare and manage the firm's annual budget, including income projections, expense forecasts, and profit analysis.
- Oversee financial statements, performance metrics, and management reports on a monthly basis.
- Manage cash flow, partner draws, distributions, and banking relationships.
- Supervise accounts receivable, accounts payable, payroll, and benefits administration.
- Collaborate with partners on partner points calculations, compensation planning, and bonus structures.
- Lead the 401(k) census and annual reporting process in coordination with the firm's administrator.
Operations & Technology
- Drive automation and systemization to streamline operations, enhance productivity, and improve client and employee experiences.
- Oversee case management systems (Clio), financial and HR software integrations, and ensure data accuracy and security.
- Design and implement workflows, benchmarking tools, and reporting dashboards to track progress toward key performance indicators.
- Manage relationships with vendors, IT providers, and service partners.
Human Resources & Administration
- Supervise administrative staff and department managers, ensuring optimal staffing levels and resource allocation.
- Direct recruiting, onboarding, and retention of attorneys and administrative personnel.
- Ensure compliance with all California and federal employment laws, including wage & hour, benefits, and workplace training requirements.
- Conduct annual performance reviews and manage professional development programs.
- Promote a positive, inclusive, and high-performance firm culture.
Qualifications
- Bachelor's degree required, MBA added plus
- 5+ years of executive-level operations management experience in a law firm or professional services organization.
- Demonstrated success in financial management, process design, and strategic planning.
- Proven leadership ability to motivate, coach, and develop teams in a fast-paced, high-growth environment.
- Strong proficiency in data-driven decision-making, budgeting, and performance analytics.
- Experience with law firm management software (Clio, Paychex Flex, QuickBooks, etc.) highly preferred.
