Position Summary:

The Project Manager for the Office of the Superintendent will assist the Superintendent and Senior Executive Administrative Specialist with day-to-day operations, and support key improvement work across all departments. The Project Manager will collaborate with District staff to deliver on important customer service goals and objectives.

Minimum Qualifications:

  • A Bachelor's degree is strongly preferred for this position. In lieu of a Bachelor's degree, 8 years of relevant work experience in a K-12 setting will be considered.
  • Minimum of ten (10) years of professional experience supporting cabinet-level administrators
  • Working knowledge of PowerSchool, Knowledge of PeopleSoft Financials & HR/Payroll, Qualtrics, is strongly preferred
  • Demonstrate proficiency with Office 365 including Microsoft Word, Excel, PowerPoint and Adobe Acrobat
  • Excellent written and oral communication skills is required
  • Physical Demands: Ability to remain in a stationary position for long periods of time; Medium work capacity with the ability to handle packages weighing pounds

Essential Functions:

  • Contributes to the overall operations of the Office of the Superintendent and supporting departments in the executive suite and other District floors
  • Provide exceptional customer service to all District staff, Board Members, constituents, stakeholders, and visitors, either in-person, via telephone calls, and email communications. Receive visitors at the front desk by greeting, welcoming, directing and announcing them to the Office of the Superintendent and other executive suites/floors
  • Maintain strict confidentiality and compliance with applicable state and federal statutes relative to all internal and external communication from the Office of the Superintendent and interdepartmentally
  • Maintain office security by following all safety/security procedures and controlling access via the receptionist desk
  • Perform tasks and assignments independently, on behalf of the Office of the Superintendent, when required or directed
  • Contribute to a positive culture grounded in continuous improvement and a commitment to setting and meeting District key performance goals.
  • Maintain knowledge of District and state policies, requirements and regulations
  • Prepare, print/publish Superintendent and cabinet reports and agendas, including researching and compiling background information to support cabinet decision making and recording processes.
  • Maintain spreadsheet, database files and prepare reports as directed by the Office of the Superintendent
  • Collaborate with the Senior Executive Administrative Specialist to prepare and process documentation for requisitions, purchase orders, check requests, expense reports, conference/travel packets, reimbursements, community use payments, etc.
  • Monitor and record all incoming and outgoing US Mail and Interdepartmental mail delivered to the executive suite and appropriately route to respective offices
  • Answer/screen all incoming calls and voicemails to the Office of the Superintendent and resolve or route appropriately
  • Maintain the 14th Floor Large Conference Calendar for scheduling meeting/events
  • Ensure executive suite area remains neat and presentable with timely District communications, newsletters, materials, etc.
  • Function as backup payroll preparer and scheduler
  • Assist with the coordination of District, Board, Cabinet & Community Events as needed
  • Provide office support to cabinet members and work collaboratively with executive administrative assistants to meet District directives issued by the Office of the Superintendent
  • Responds to employee and constituent responses and requests via constituent management systems.
  • Perform other administrative duties as assigned.
