We are looking for a detail-driven and highly organized Accounts Payable Specialist to join our finance team. In this role, you'll play a key part in ensuring the accuracy and efficiency of our accounts payable operations through the 2/3-way matching process and proactive management of vendor credits. You'll work closely with vendors and internal teams to keep transactions accurate, timely, and transparent—helping maintain strong supplier relationships and reliable financial reporting.
What You'll Do
- Enter invoices into NetSuite with correct GL coding and department allocations
- Perform detailed 2/3-way matching (POs, invoices, and receiving documents) before initiating payments
- Investigate and resolve mismatches in quantities, pricing, or documentation
- Partner with internal teams to clear outstanding matching issues
- Track and apply vendor credits accurately and on time
- Collaborate with vendors and internal stakeholders to resolve disputes (returns, overpayments, discounts)
- Maintain thorough records of credit activity for monthly reconciliation
- Apply prepayments to vendor accounts in NetSuite as needed
- Reconcile vendor statements monthly, resolving any discrepancies with vendors
- Manage vendor prepayment reconciliations to ensure timely application
- Support daily, weekly, and monthly AP close activities
- Reconcile the AP subledger to the General Ledger
- Prepare and submit journal entries accurately
- Reconcile and process corporate credit card statements
- Verify receipts and proper categorization of all charges
- Follow up with employees on missing or unclear documentation
- Ensure timely monthly reconciliations
- Respond promptly to vendor inquiries regarding payments or account status
- Work cross-functionally with internal departments to resolve issues and improve processes
- Partner with the Accounting team to support month- and year-end close activities
Qualification
- 2–3 years of AP or bookkeeping experience (manufacturing background preferred)
- Knowledge of GAAP accounting and accruals
- Ability to manage multiple priorities in a fast-paced, detail-oriented environment
- Strong organizational skills and an independent work ethic with accountability for deadlines
- Excellent written and verbal communication skills; professional interpersonal presence
- Advanced Excel skills (formulas, pivot tables, data analysis)
- Familiarity with NetSuite or Oracle ERP systems
- Growth mindset and eagerness to learn
Preferred Qualifications
- Bachelor's degree in Accounting or related field, or equivalent certification
- Experience with ERP systems and automated invoicing tools
- Manufacturing industry experience is a plus
