SERVICE DISPATCHER / COORDINATOR

Full-Time | Monday–Friday, 7:00 AM – 4:00 PM (1 hour lunch)

Compensation: $24–$34/hr (based on experience)

Advanced Hydronics, Inc., the region's leader in high-performance hydronic heating and cooling systems, is seeking a highly organized Service Dispatcher/Coordinator to join our office team. If you excel at coordinating people, solving scheduling challenges, and maintaining calm, clear communication in a fast-moving environment, this role is an excellent fit.

Our office environment is small, supportive, and highly collaborative. You'll work closely with four technicians and office staff to ensure smooth daily operations, exceptional customer experiences, and efficient service workflows.

RESPONSIBILITIES

Service Coordination & Scheduling

  • Manage all inbound service requests
  • Perform outbound scheduling, including:

  • Calling customers to schedule maintenance, follow-up work, system checkups, or deferred repairs

  • Scheduling estimates or revisits recommended by technicians
  • Coordinating with customers whose appointments require rescheduling

  • Schedule and coordinate daily service appointments (approx. 12 service calls per day)

  • Dispatch four technicians based on skillset, availability, location, and job urgency
  • Communicate arrival times and job updates to customers

Communication & Customer Care

  • Act as the primary point of contact for customers and technicians
  • Maintain professionalism, patience, and empathy, especially in difficult situations
  • Provide timely updates and clear information to both internal and external stakeholders

Administrative & Operational Support

  • Maintain accurate records of service requests, scheduling, and technician assignments
  • Use FieldPulse and Housecall Pro dispatching software
  • Ensure company and contractor licensing remains up to date
  • Respond to Google reviews professionally and promptly
  • Schedule social media marketing posts
  • Assist with additional small administrative tasks as needed
  • No after-hours call duty

Problem-Solving & Efficiency

  • Assist technicians with logistical or scheduling challenges during service calls
  • Troubleshoot workflow bottlenecks and suggest process improvements
  • Help maintain clear communication between field and office operations

QUALIFICATIONS

  • Previous dispatching experience (HVAC/hydronics preferred)
  • Strong organizational skills and the ability to prioritize in a dynamic environment
  • Excellent verbal and written communication
  • Comfortable using dispatching and office software (FieldPulse, Housecall Pro, email, digital tools)
  • Ability to stay calm, level-headed, and efficient under pressure
  • Strong emotional intelligence and customer relationship skills
  • Ability to communicate professionally with both customers and technicians
  • Positive attitude, team-oriented mindset, and solid problem-solving ability
