About Us

Mills Perinatal Wellness Group is a growing mental health practice that specializes in supporting women and families during pregnancy, postpartum, infertility, loss, and major life transitions. Our team provides compassionate, trauma-informed care, and our mission is to ensure that every client feels deeply supported from their very first contact with us. Even though perinatal is our specialty, we have several clinicians who work with other populations as well.

We are seeking a warm, highly organized, bilingual Client Care & Intake Coordinator to join our team. In this role, you'll work closely with the Director and our administrative team to ensure clients feel welcomed, understood, and supported at every step.

This role is ideal for someone who is empathetic, detail-oriented, flexible, and invested in helping families get the care they need.

Position Overview

The Client Care & Intake Coordinator is the first point of contact for prospective clients and referral sources. This person plays a key role in shaping the client's experience and ensuring a smooth transition into care.

The ideal candidate is:

  • Able to communicate clearly with clients in emotional or stressful situations

Primary Responsibilities Client Communication & Referrals

  • Answer incoming calls and respond to inquiries with warmth, clarity, and compassion
  • Provide bilingual (English/Spanish) support for clients who prefer Spanish
  • Manage voicemail and return calls in a timely manner
  • Process new referrals from doctors, community partners, and clients
  • Make sure clients feel safe, supported, and guided during the first contact

Intake & Scheduling

  • Gather insurance details and coordinate with our biller
  • Send intake forms and assist clients with completing required documentation
  • Schedule initial appointments based on clinician availability
  • Coordinate communication between clients and clinicians

Administrative Support

  • Maintain accurate and organized records
  • Track weekly referral flow and follow up as needed
  • Support the Director with administrative tasks and projects
  • Assist with onboarding new clinicians as the team grows
  • Help ensure the practice's systems run smoothly and efficiently
  • Support Clinicians with insurance required assessments daily

Qualifications Required

  • Bilingual in English and Spanish (must be fluent and comfortable speaking professionally)
  • Warm and welcoming communication style
  • Highly organized with strong attention to detail
  • Excellent verbal and written communication skills
  • Ability to work independently with minimal supervision
  • Comfortable discussing sensitive topics in a supportive way
  • Ability to work reliably from home
  • Tech-savvy and comfortable learning new systems

Preferred

  • Experience in a mental health or healthcare setting
  • Familiarity with HIPAA and protecting confidential information
  • Experience with scheduling, customer service, or intake coordination
  • Experience with electronic health record systems
  • Located in Alabama

Hours & Growth

  • Start at 5–15 hours per week
  • Increase to 15–20 hours based on performance and practice needs
  • Potential to grow to full-time in the next 12 months
  • Flexible scheduling available ( daytime availability required -10am-8pm)
