Position Summary
The Maintenance manager plays a critical role in ensuring the smooth operation and upkeep of facilities within the business services sector. This position is responsible for planning, scheduling, and overseeing maintenance activities to minimize downtime and extend the lifespan of equipment and infrastructure. The coordinator acts as a liaison between maintenance teams, vendors, and management to ensure timely and cost-effective resolution of maintenance issues. By proactively managing maintenance schedules and resources, the role contributes to a safe, efficient, and compliant working environment. Ultimately, the Maintenance Coordinator supports operational continuity and enhances overall organizational productivity through effective maintenance management.
Minimum Qualifications:
- High school diploma or equivalent; technical certification or associate degree in facilities management or related field preferred.
- Proven experience in maintenance coordination, facilities management, or a similar role within a business services environment.
- Basic knowledge of maintenance procedures, safety standards, and regulatory compliance.
- Proficiency in using maintenance management software and Microsoft Office applications.
- Strong organizational and communication skills to manage multiple tasks and coordinate with diverse teams.
Preferred Qualifications:
- Bachelor's degree in Facilities Management, Engineering, Business Administration, or related discipline.
- Experience with computerized maintenance management systems (CMMS) and inventory control.
- Familiarity with budgeting and cost control related to maintenance operations.
- Certification such as Certified Maintenance & Reliability Professional (CMRP) or Facility Management Professional (FMP).
- Demonstrated ability to lead projects and improve maintenance workflows through data-driven decision making.
Responsibilities:
- Develop and manage maintenance schedules for equipment, machinery, and facilities to ensure timely upkeep and repairs.
- Coordinate and communicate with internal teams and external contractors to facilitate maintenance work and resolve issues promptly.
- Monitor maintenance activities to ensure compliance with safety regulations and company policies.
- Maintain accurate records of maintenance work, including work orders, inspections, and inventory of parts and supplies.
- Analyze maintenance data to identify trends, recommend improvements, and optimize maintenance processes.

The Maintenance manager utilizes organizational skills daily to plan and prioritize maintenance tasks effectively, ensuring minimal disruption to business operations. Communication skills are essential for coordinating between maintenance teams, vendors, and management, facilitating clear and timely information exchange. Technical skills enable the coordinator to understand maintenance requirements, interpret equipment manuals, and use maintenance management software efficiently. Analytical skills are applied to review maintenance data, identify patterns, and recommend process improvements that enhance operational efficiency. Additionally, problem-solving skills are critical for addressing unexpected maintenance issues promptly and implementing preventive measures.
