Overview
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team in our Boone Office. This is a part-time role with a maximum workload of 20 hrs per week. This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and excellent customer service. The ideal candidate will be energetic, detail-oriented, and possess strong organizational skills to manage a busy office environment effectively. You will serve as the first point of contact for visitors and callers, while also handling a variety of clerical and office management tasks that keep our workplace running seamlessly. This paid position offers an exciting opportunity to develop your administrative expertise in a professional setting.
Responsibilities
- Greet visitors warmly and professionally, providing exceptional customer service and ensuring a positive first impression
- Manage multi-line phone systems, answer inquiries, direct calls efficiently, and take accurate messages
- Maintain a clean, organized front desk area and ensure all reception duties are performed with professionalism
- Handle incoming correspondence, including emails, mail, and packages, with attention to detail and promptness
- Assist with calendar management and scheduling appointments using Microsoft Office tools and Google Workspace applications
- Perform data entry tasks accurately into various systems such as QuickBooks or other office management software
- Support office management activities including filing, document proofreading, and maintaining organized records
- Coordinate appointments for personal assistants or medical/dental receptionists as needed
- Manage office supplies inventory, place orders when necessary, and ensure the workspace is well-stocked
- Provide clerical support such as copying, scanning, faxing, and preparing reports or presentations
- Uphold phone etiquette standards while supporting customer service efforts through courteous communication
- Assist with bookkeeping tasks including basic bookkeeping using QuickBooks or similar software when required
- Support team members with administrative projects to enhance overall office efficiency
Experience
- Previous experience in an office environment or administrative role is preferred
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Strong organizational skills with the ability to multitask effectively in a fast-paced setting
- Excellent communication skills—bilingual abilities are a plus—along with professional phone etiquette
- Familiarity with multi-line phone systems and front desk operations is advantageous.
- Ability to manage time efficiently while handling multiple responsibilities simultaneously
