Catholic Charities of Baltimore is currently seeking an TA Coordinator who will play a key role in driving full-cycle talent acquisition activities that support the hiring of qualified candidates. This role partners closely with Talent Acquisition Partners (TAPs), Hiring Managers, and Pre-Onboarding team to deliver a seamless and positive candidate experience while verifying all talent acquisition processes are executed efficiently and in compliance with organizational policies. The hybrid work schedule is Monday – Friday, 8:30am – 4:30pm.
JOB DUTIES & RESPONSIBILITIES
- Receives, tracks, and manages draft requisition request forms, guaranteeing all required details are completed and processed within 2-3 business days to prevent delays in positions being posted.
- Manages and update job posting drafts, maintaining consistency, accuracy, and alignment with current classifications and compensation standards.
- Creates engaging and compliant job postings for various roles, making postings reflect the organization's mission and values while attracting qualified applicants.
- Clone draft requisitions in the Applicant Tracking System (ATS), verifying that all system data is accurate and postings are active within 2-3 business days.
- Maintains ongoing communication with hiring managers to make sure requisitions are accurate and timely, supporting efficient hiring cycles and a collaborative recruitment process.
- Prepares, extends, and documents job offers as directed by Talent Acquisition Partners (TAPs), verifying accuracy, compliance, and delivery within 24 hours of selection approval. Creates and issues corresponding offer letters that reflect approved compensation, position details, and employment terms without discrepancies.
- Hires candidates in UKG following internal hiring procedures, ensuring data integrity and seamless transition into onboarding workflow.
- Provides candidates with guidance on pre-employment requirements and next steps, and delivers onboarding packages in a timely manner, ensuring all materials are complete and clear so new hires can navigate the pre-onboarding process successfully.
- Monitors and manages the Talent Acquisition email inbox, responding timely and delegating as needed so responses or task delegation happens timely to maintain workflow efficiency.
- Serves as a point of contact for candidates regarding their recruitment journey, providing accurate and courteous communication that enhances candidate satisfaction and supports a positive experience.
- Plans, coordinates, and attends job fairs, community recruitment events, and campus career activities, representing the organization professionally and ensuring all materials (e.g., flyers, banners, promotional items, etc.) are prepared and available in advance.
- Collaborates with colleges and universities to coordinate Talent Acquisition Partner attendance at career fairs and on-campus recruitment efforts, building relationships that increase visibility and future talent pipelines.
- Writes and sends personalized welcome cards to new hires as part of the onboarding experience, helping create a warm and memorable first impression.
- Assists in initiatives that enhance candidate engagement and employer branding, contributing to a positive reputation as an employer of choice and supporting retention goals.
- Performs other duties as assigned.
EDUCATION & EXPERIENCE REQUIREMENTS:
- Associate's degree in human resources, business, or related field.
- Three (3) years of experience in human resources, recruiting, or talent acquisition.
- Experience with Applicant Tracking System (ATS) systems (e.g., UKG, Taleo, ICIMS, etc.).
- An equivalent combination of education and experience may be considered.
REQUIRED SKILLS & ABILITIES:
- Demonstrates excellent verbal and written communication skills including active listening, ensuring clarity and effectiveness in all interactions.
- Displays excellent organizational skills and meticulous attention to detail, maintaining accuracy and efficiency.
- Demonstrates accountability by working independently, requiring minimal direction or supervision.
- Demonstrates discretion and professionalism in all situations, maintaining confidentiality and integrity.
- Effectively prioritizes tasks, with an ability to manage multiple tasks and deadlines in a fast-paced environment to facilitate optimal workflow and productivity.
- Requires proficiency in using computer systems and software to perform job function, including but not limited to, basic Windows PC, web browsing (i.e., Chrome, Internet Explorer, etc.), and Microsoft Outlook. Knowledge of other Microsoft Office applications, such as Word, Excel PowerPoint, Teams, and OneDrive is preferred.

- Adjusting or moving objects up to 20# in all directions, which may include lifting, carrying, pushing, pulling, or repositioning items as necessary to perform job duties.
- Assessing the accuracy, neatness, and completeness of assigned work to ensure it meets quality standards and adheres to established guidelines.
- Engaging in communication with others to exchange information, which may involve speaking, listening, writing, or using electronic communication methods to support clear and effective understanding. This includes both verbal and non-verbal interactions with colleagues, clients, or external parties.
