Role Description

This is a full-time on-site Staff Accountant role is responsible for executing daily accounting functions that support financial operations across multiple bakery locations. This includes managing accounts payable, customer invoicing, payment application, and vendor/customer communication. The position ensures accurate and timely recording of financial transactions and plays a vital customer-facing role by handling billing inquiries, payment collections, and account reconciliations. This position requires strong attention to detail, effective prioritization of routine financial tasks, and the ability to communicate clearly with both internal and external stakeholders. The Staff Accountant works under the direction of the Controller and is expected to take full ownership of the transactional accounting cycle within AP/AR while maintaining accurate and audit-ready documentation.

Qualifications

• Associate or Bachelor's degree in Accounting, Finance, or related field (preferred)
• 2+ years of experience in accounting, with a focus on AR/AP and customer account management

Primary Accountabilities

a. Accounts Payable (AP)

• Review and process vendor invoices through , ensuring proper documentation and authorization
• Perform vendor statement reconciliations to ensure all invoices are accounted for and properly paid
• Maintain accurate and up-to-date vendor records, including W-9s and tax forms

b. Accounts Receivable (AR) & Billing

• Generate and send invoices and monthly statements to customers for product orders and services
• Apply customer payments, including checks, ACH transfers, and receipts, to open invoices
• Deposit checks and enter corresponding transactions in the accounting system
• Research and resolve discrepancies or short payments with customers
• Process credit card payments

c. Customer Account Management

• Perform credit checks and screenings for new customer accounts before onboarding
• Follow up on outstanding or overdue invoices via email and phone in a professional manner
• Send scanned/signed invoices or proof of delivery to customers upon request
• Apply credits, adjustments, and refunds to customer accounts when applicable

d. General Accounting & Month-End Close

• Maintain organized digital files for invoices, reconciliations, reports, and supporting documents
• Support fiscal period and year-end close processes, including account reviews, journal entries, and reporting packages
• Assist with financial audits, both internal and external, by preparing requested documentation

e. System & Process Support

• Support the accounting team with data entry and reconciliations
• Use and other accounting software for managing payables and receivables
• Collaborate cross-functionally with sales, operations, and customer service teams to ensure financial accuracy
• Support internal process improvements to increase efficiency and financial clarity
• Work together across the silos instead of separately within them
• Play an active role in setting the culture, pace, and expectations of the team
