We're seeking a highly organized, proactive Executive / Personal Assistant to provide direct support to our Chief Executive Officer and help keep operations running seamlessly. This is a role for someone who thrives in a fast-paced environment and under pressure, confident communicator, demonstrates strong attention to detail, and excels at multitasking.

- Schedule & Location Monday–Friday, 8:30 a.m.–5:00 p.m. based at our Corporate Office in Dana Point, CA.

What You'll Do
Executive Support
- Manage complex calendars, appointments, and travel arrangements for the CEO.
- Anticipate needs before they arise; prepare materials, briefings, and follow-ups.
- Prioritize and manage email, calls, and correspondence to maintain efficient communication.
- Prepare polished reports, presentations, and documents for internal and external use.
- Coordinate meetings, including agenda preparation, note-taking, and follow-up action tracking.
- Conduct research and compile data to support decision-making.
- Maintain confidential records, contracts, and executive files with discretion and professionalism.
Project & Operations Support
- Assist in the planning and execution of both business and personal projects.
- Assist with select personal tasks and logistics as needed to support the CEO's effectiveness
- Liaise with vendors, contractors, and service providers as needed.
- Collaborate with the Administrative Assistant and other departments on HR coordination, vendor management, and company events.
- Provide administrative support for strategic initiatives as assigned.
Who You Are
- A trusted professional with exceptional organization, time management, and prioritization skills.
- Skilled at anticipating needs, juggling multiple priorities, and maintaining composure in a fast-paced, high-demand environment.
- Highly detail-oriented, ensuring accuracy and follow-through across all tasks and communications.
- Experienced in managing complex logistics, scheduling, and confidential information with discretion.
- A clear and proactive communicator with polished interpersonal skills and strong professional judgment.
- Comfortable working independently while providing seamless support to senior leadership.
- Experienced in executive or personal assistance (3+ years preferred).
- Proficient in Microsoft Office Suite, Google Workspace, and project management tools.

Minimum Qualifications & Requirements
- 3+ years as an Executive Assistant or Personal Assistant to Executive Leadership
- Strong proficiency in Microsoft Office Suite, Google Workspace, and project management tools.
- Excellent communication, multitasking, and problem-solving abilities.
- Ability to handle confidential information with professionalism and discretion.
- Highly organized with an eye for detail and the ability to anticipate executive needs.
- Experience coordinating high-profile travel, events, or personal projects preferred.
