THE CLASSICAL ACADEMY
POSITION DESCRIPTION
Title: Executive Asst./ Human Resources/Substitute Coordinator Department: HR
Date: Updated January 29, FLSA Status: Non-Exempt
Work Year: 260 Day Calendar Year
Hourly Rate: $24.50-$26.50*
*depending upon previous relevant experience. Actual starting pay rate will be determined after a review of the work experience provided on the job application and resume.
GENERAL STATEMENT OF DUTIES:
Provides Human Resources support service functions for The Classical Academy. Coordinates all aspects of the substitute system including hiring, supporting, and filling daily vacancies.
ORGANIZATIONAL RELATIONSHIP:
Reports to the Director of Human Resources

ESSENTIAL JOB FUNCTIONS:
Executive Assistant:
- Coordinates all volunteer applications, including parent and non-parent volunteers, volunteer coaches, student teachers, vendors, etc.
- Maintains Raptor Volunteer Management System, includes configuration of application and database maintenance
- Communicates with prospective volunteers regarding background information, maintaining strict confidentiality
- Assists with pay/benefits orientations, HRIS database entry, background and I-9 verification
- Creates and maintains employee personnel files
- Answers telephone and provides information to Human Resources customers
- Interprets and explains TCA personnel procedures to Human Resources customers
- Performs Human Resources reception duties, makes appointments for applicants and employees with Human Resources Director, Compensation and Benefits Coordinator, or Employee Relations and Recruitment Coordinator when necessary
- Verifies employment of current and past employees to outside agencies
- Assists the Director of Human Resources to track, review, edit, and post Personnel policies and procedures
- Maintains various staff databases, surveys, and reports, including evaluations and staff directory
Substitute Coordinator:
- Determines substitute hiring needs each year and hires accordingly
- Performs all aspects of the substitute recruiting and hiring process: conducts interviews, performs reference checks, hosts orientations, and sets up substitutes in substitute scheduling system
- Communicates TCA policies, procedures, and expectations to new substitutes
- Administers substitute counseling and issue mitigation
- Configures and maintains substitute scheduling and system to include maintaining substitute and employee profiles, and system definition and set-up for appropriate performance
- Maintains oral and written communications with teachers, substitutes, and principals to include administering employment status and termination documents e.g., substitute performance appraisals and administrator feedback
- Coordinates with Finance personnel to ensure accurate sub pay receipts and leave reconciliation
- Monitors Substitute scheduling system for accurate data/scheduling, adjusts as needed
- Communicates resources and training opportunities to substitutes
- Provides substitute metrics
MARGINAL JOB FUNCTIONS:
- Performs routine word processing activities related to departmental functions
- Opens, sorts, and distributes incoming mail, and/or prepares outgoing mail as required
- Performs a variety of duties using different types of office equipment
- Maintains HR office filing systems in accordance with state and federal laws
- Participates in various Admin committees as assigned by the Human Resources Director
- Performs other duties as assigned
MINIMUM QUALIFICATIONS:
EDUCATION:
High School diploma or GED equivalent required
Bachelor's degree in Human Resources or related field preferred
EXPERIENCE:
Two years administrative experience required
Full cycle Human Resources experience is preferred
KNOWLEDGE, SKILLS AND ABILITIES:
- Familiarity with Human Resources policies and procedures
- Knowledge of and demonstrated successful experience in human relations and communications
- Proficient in Microsoft Outlook, Word and Excel
- General office experience with strong attention to detail
- Strong organizational skills
- Ability to greet public in a courteous and professional manner
- Considerable knowledge of computer equipment and related software utilized within the Human Resource Department
- Ability to compile and analyze statistical reports
- Ability to handles confidential information in a discreet and professional manner
- Ability to mediate and resolve interpersonal conflicts
- Ability to work independently on major assignments
- Ability to operate standard office equipment, performing a wide range of office management tasks independently
- Ability to follow oral and written instructions
- Ability to communicate effectively verbally and in writing, including public speaking

WORK ENVIRONMENT:
- Work is generally performed within a standard office environment.
- Required to work normal business hours and additional hours as needed for substitute coordinating

BENEFITS: 0.5 to 1.0 FTE:
The Classical Academy offers competitive pay and a robust total compensation package including:
- MEDICAL INSURANCE: There are three options for Medical coverage, including an HSA option; as well as access to OneMedical for eligible staff members who elect a TCA Medical plan. The Classical Academy (TCA) makes a monthly contribution toward your medical premiums as an employee.
- DENTAL INSURANCE: Dental insurance is offered through Delta Dental of Colorado. TCA makes a monthly contribution toward the premium for this benefit
- LIFE INSURANCE/LTD: Employees are provided a $25,000 group term life insurance through The Standard Life Insurance Company and offers Long-term Disability coverage as well. TCA pays the full cost of group term life insurance and long-term disability benefits. Accident and hospital indemnity plans are also available to employees through The Standard, for an additional cost.
- RETIRMENT PLAN: Administered by Colorado PERA, this is a tax deferred retirement account to which you contribute 11% of your monthly earnings. TCA contributes 20.9% to the PERA pension trust fund on your behalf.
- VOLUNTARY VISION INSURANCE: EyeMed is the voluntary vision program available to TCA employees.
- WELLNESS PROGRAM: A voluntary wellness program though Orriant is offered in which employees are eligible to earn an incentive of up to $150 for participation AND achievement of wellness activity goals
