Job Overview
We are seeking a dedicated and detail-oriented Office Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support, managing front desk duties, and assisting with various clerical tasks. This position requires excellent organizational skills, proficiency in office software, and a commitment to delivering exceptional customer service.
Responsibilities
- Greet visitors and manage front desk operations, ensuring a welcoming environment.
- Handle multi-line phone systems, directing calls and taking messages as necessary.
- Perform data entry tasks accurately and efficiently.
- Maintain organized filing systems for easy access to documents.
- Assist with calendar management, scheduling appointments, and coordinating meetings.
- Provide customer support by addressing inquiries and resolving issues promptly.
- Utilize QuickBooks for basic bookkeeping tasks as needed.
- Support office management by maintaining supplies and equipment.
- Proofread documents for accuracy and clarity before distribution.
- Collaborate with team members to ensure effective communication and workflow.
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Strong computer literacy with the ability to learn new software quickly.
- Excellent organizational skills with attention to detail.
- Effective time management skills to prioritize tasks efficiently.
- Strong typing skills for accurate data entry.
- Experience in clerical roles or administrative positions preferred.
- Knowledge of phone etiquette and customer service best practices.
- Bilingual abilities are a plus for enhanced communication with diverse clients.
- Previous experience as a dental or medical receptionist is advantageous but not required.
