Job Title: Facilities & Transportation Manager – N. Texas

Department: Operations

Reports To: Chief Operations Officer

FLSA Status: Exempt

GENERAL PURPOSE: The Facilities and Transportation Manager is responsible for the overall management, maintenance, and upkeep of all district facilities, grounds, and vehicles. The manager ensures that all operations comply with local, state, and federal regulations and are conducted in the safest, efficient, and cost-effective manner possible.

DUTIES AND RESPONSIBILITIES:

Facilities and grounds management

  • Maintenance and repairs: Develop and implement preventive maintenance plans for all facilities and equipment, and oversee all repair projects, both in-house and through outside contractors.
  • Supervision: Hire, train, schedule, and supervise custodial, maintenance, and grounds staff.
  • Inspections: Conduct regular inspections of all school facilities, playground equipment, and grounds to ensure a safe, clean, and well-maintained environment.
  • Compliance: Ensure all facilities adhere to building codes, health and safety regulations, and environmental standards.
  • Contractor management: Solicit bids, negotiate contracts, and oversee the work of third-party vendors for specialized services like landscaping, pest control, and major repairs.
  • Resource management: Maintain a comprehensive inventory of all tools, supplies, and equipment needed for facility and grounds operations.

  • Emergency response: Respond to and manage emergency situations related to facilities, such as weather damage or system failures.

Transportation management

  • Operations and routing: Develop, manage, and optimize all district bus routes to ensure safe and efficient student transportation.
  • Staff supervision: Recruit, train, and supervise bus drivers and other transportation staff, and conduct performance evaluations.
  • Fleet maintenance: Oversee the maintenance and repair of the district's vehicle fleet, ensuring all vehicles are in safe working condition and comply with Department of Transportation regulations.

  • Compliance: Ensure the transportation department is in full compliance with all federal, state, and local laws and regulations concerning school bus operations.

  • Safety programs: Develop and implement safety programs and conduct emergency drills for transportation staff and students.
  • Communication: Serve as the primary contact for parents, school administrators, and the community regarding transportation issues.
  • Reporting: Maintain all required records and reports related to transportation, including vehicle maintenance, route schedules, and driver records.

Fiscal management

  • Budgeting: Assist in developing and managing the departmental budgets for facilities, grounds, and transportation.
  • Cost efficiency: Monitor expenditures and identify cost-saving opportunities within both departments.

  • Purchasing: Manage the purchasing process for equipment and supplies, ensuring cost-effectiveness.

Skills:

  • Strong organizational and time-management skills.
  • Excellent written and verbal communication and interpersonal skills.
  • Proficiency with relevant software, including transportation routing systems, maintenance management software, and general office applications.
  • Strong knowledge of building codes, safety regulations, and vehicle maintenance.
  • Demonstrated problem-solving and decision-making abilities.

Working conditions:

  • This is a full-time, 12-month position.
  • The role involves a mix of office work and time spent in the field across district properties.
  • Some evening or weekend work may be required to respond to emergencies or manage projects.
  • The position may require frequent physical tasks, such as lifting heavy objects and working in confined spaces.

Qualifications

  • Education: High school diploma or GED required. An associate or bachelor's degree in business administration, logistics, or a related field is preferred.
  • Experience: Previous experience in facilities management, transportation management, or a combination of both is required. Supervisory or leadership experience is essential.
  • Licenses and certifications: A valid commercial driver's license (CDL) with passenger (P) and school bus (S) endorsements is often required or preferred. Other certifications in facilities management or safety are a plus.
