We are seeking a dynamic and organized Office Assistant to join our team and help keep our daily operations running smoothly. As an Office Assistant, we are looking for someone reliable and organized to handle daily office operations, payroll support, scheduling, and basic accounting tasks. Manage administrative tasks, and assist with office management duties. Your positive attitude and proactive approach will contribute significantly to our welcoming workplace atmosphere.
Duties
- Greet visitors and clients at the front desk with professionalism and warmth, ensuring a positive first impression
- Operate multi-line phone systems, answer inquiries, direct calls accurately, and maintain excellent phone etiquette
- Manage front desk responsibilities including scheduling appointments, handling mail, and organizing deliveries
- Perform data entry and maintain accurate records using computer skills in Microsoft Office and Google Workspace applications
- Assist with filing, document proofreading, and general clerical tasks to support office operations
- Support bookkeeping activities using QuickBooks or similar accounting software as needed
- Coordinate calendar management and schedule meetings or appointments for staff members or executives
- Handle customer service inquiries via phone or email, providing prompt and courteous support
- Maintain organized filing systems—both digital and physical—to ensure easy retrieval of documents
- Support office management activities such as supply inventory checks, ordering office supplies, and maintaining a tidy workspace
- Provide administrative assistance to various departments or personnel as required, including personal assistant duties when necessary
Skills
- Proven experience in an office environment with strong clerical skills and organizational abilities
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools (Gmail, Calendar, Drive)
- Excellent computer literacy with the ability to learn new software quickly
- Knowledge of Chat GPT or AI software
- Strong typing skills with attention to detail for proofreading and data entry tasks
- Experience managing multi-line phone systems and demonstrating professional phone etiquette
- Knowledge of QuickBooks or bookkeeping experience is a plus for handling basic financial tasks
- Exceptional organizational skills with the ability to prioritize tasks efficiently in a busy setting
- Effective time management skills to handle multiple responsibilities simultaneously without compromising quality
- Previous office management or administrative experience preferred but not required
- Customer service expertise with a friendly demeanor that fosters positive interactions
- Ability to handle confidential information discreetly and professionally
