Responsibilities

  • Greet visitors and clients warmly at the front desk, creating a friendly and professional first impression
  • Manage multi-line phone systems with courteous phone etiquette, directing calls efficiently and professionally
  • Handle incoming and outgoing correspondence, including emails, mail, and packages
  • Maintain accurate data entry records using Microsoft Office applications and Google Workspace tools
  • Organize files, documents, and records through effective filing systems to ensure easy retrieval
  • Administrative Support: Provide general support to managers and team members, including scheduling meetings, managing calendars, and making travel arrangements.
  • Support bookkeeping tasks using QuickBooks or other accounting software as needed
  • Perform general clerical duties such as photocopying, proofreading documents, and preparing reports
  • Support office management by ordering supplies, maintaining inventory, and coordinating maintenance requests
  • Provide excellent customer support by addressing inquiries promptly and professionally in person or via phone or email
  • Office Maintenance: Ensure common areas, conference rooms, and the kitchen are tidy and well-stocked. Monitor and order office supplies.
  • Equipment Coordination: Serve as the primary point of contact for office equipment maintenance (printers, copiers, etc.).
  • Project Support: Assist with special projects as needed, which may include event planning, preparing reports, or creating presentations.

Skills

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Drive)
  • Familiarity with QuickBooks for basic bookkeeping tasks is preferred
  • Excellent phone etiquette with experience managing multi-line phone systems and providing customer support
  • Bilingual abilities are highly valued to serve diverse client needs effectively
  • Strong typing skills with attention to detail for data entry and proofreading tasks
  • Knowledge of office management procedures including filing systems, inventory control, and supply ordering
  • Ability to handle confidential information discreetly and professionally
  • Exceptional time management skills to prioritize tasks efficiently in a fast-paced environment
  • Experience as a out patient clinic receptionist or medical receptionist or personal assistant is a plus but not required
  • Familiarity with office equipment such as fax machines, scanners, copiers, and printers
