MISSION: (The essence of the job)
The Client Experience Project Coordinator plays a vital role in delivering exceptional hospitality and client service to all guests, including artists, touring crews, and vendors. This position ensures seamless experience from arrival to departure, acting as a central point of contact for client needs, coordinating logistics, and supporting the Front Office and Initiatives teams with public-facing projects.
OUTCOMES: (What must get done and how will we measure success)
- Provide concierge-level service to all clients, ensuring a welcoming and professional experience, serving as a liaison between artists, crews, vendors, and internal teams to facilitate smooth operations
- Maintain and update client information in the CRM system with accuracy and discretion
- Assist with scheduling, booking amenities, and coordinating special requests and tours
- Collaborate with Operations, Studio, and Initiative teams to ensure internal projects are on track, and communicated accordingly
- Support the front desk team with check-ins, guest communications, and administrative tasks.
- Anticipate client needs and proactively offer solutions or enhancements to their experience.
- Ensure all hospitality areas are maintained to the highest standard
Requirements:
CRITICAL
- 2+ years of experience in hospitality, client relations, or artist services.
- Strong interpersonal and communication skills with a client-first mindset.
- Experience working in entertainment, touring, or studio environments preferred.
- Proficiency in CRM systems and Microsoft Office Suite.
- Ability to multitask and remain calm under pressure in a dynamic environment.
- Discretion and professionalism when handling sensitive information.
PHYSICAL
- Frequent moving and lifting equipment and boxes up to 20lbs
- Frequent walking throughout campus but may remain stationary for long periods of time
- Frequent use of manual dexterity to type and use office equipment
- Occasional exposure to concert level audio output, lasers, bright or flashing light, fog, and other elements one might experience in a live event production environment
