Job Title: Medical Assistant Supervisor
General Responsibilities:
The Medical Assistant Supervisor will oversee a team of Medical Assistants, including Lead Medical Assistants, with the goal of providing high quality patient care and promoting staff satisfaction. They will manage medical assistant staff training, hiring and termination, daily operations, productivity, and outreach, and will coordinate scheduling to ensure provider coverage.
The Medical Assistant Supervisor, in collaboration with the Nurse Manager, will be responsible for rolling out new workflows, developing processes that lead to decreased errors and promote safe practices. They will develop practical solutions and systems to address problems in a timely manner. The Medical Assistant Supervisor will be responsible for monitoring clinical quality reports and will develop sustainable processes that improve outcomes. They will assist the care team with meeting standards of care for quality and safety consistent with federal, state and accreditation guidelines.
The Medical Assistant Supervisor will work under the supervision of the Nurse Managers toward providing leadership in support of high staff morale, productivity, and retention and will fulfill the role of staff Medical Assistant as needed.
Qualifications:
Required Qualifications:
Hold current Certified Medical Assistant Certificate, or working toward certification
Ability to communicate effectively; written and verbal
Work collaboratively across all disciplines
Job knowledge: broad knowledge base of relevant professional, technical, and clinical information in assigned department.
Professionalism
Strong leadership, mentoring and problem-solving skills
BLS/CPR Certification
Successfully complete (oral and written) competency for CLIA waived testing
Strong customer service skills
Microsoft Office Experience
Preferred Qualifications:
- Management and/or supervisory experience
- Expertise in Microsoft Excel
eClinicalWorks experience

Significant Job Functions:
- Manages Medical Assistant (MA) scheduling and staffing to ensure provider/team coverage
- Establishes a working relationship with the Site Practice Director/Manager and any site clinical program managers to address changes in provider schedules that affect Medical Assistant Staffing.
- Responsible for the hiring and onboarding of new medical assistant staff, works with Lead MAs and Mentors to ensure consistent new hire training and utilization of the New Hire MA Manual
- Acts as a liaison with MA technical training programs with a goal of recruiting highly qualified candidates for MA employment
Build and maintain high levels of productivity, quality, morale, and patient service within the department
- Will work with Lead MAs, Nursing Management, and site Medical Directors to ensure high performing and well-suited provider/MA teams
- Works with nursing leadership, human resources, the employee health nurse, and others across THC to ensure staff compliance with competencies, CLIA, BLS, etc.
- Responsible for annual reviews, and maintains a resource for annual review feedback and provides input related to MA staff performance
- Engages Lead MAs in team decision making and promotes consistency across Lead MA teams at the site
- Represents and provides a voice for Medical Assistants organizationally and with site leadership
- Coordinates and leads MA meetings along with Lead MA and Nursing Leadership team
Maintains and keeps the Office 365 MA site group, One Note and/or calendar up-to-date
Manages oversight of MA special projects and assignments with the support of Lead MA team
Works with nursing management in establishing, promoting, and upholding behavioral expectations based on THC guidelines
Maintain practice standards according to OSHA and HIPPA guidelines
Meeting departmental quality and productivity goals in support of Thundermist strategic plan
Will assist with the reporting and resolution of event reports as needed
Physical Effort/ Environment:
- This role is onsite
- Moderate physical activity, walking, standing, stooping, and occasional lifting. Potential exposure to blood-borne pathogens, infectious diseases i.e. respiratory (Tuberculosis), and biohazardous materials. Manual dexterity for injections, computer use. Organization skills, neatness; knowledge of safety and infection control standards of practice.
Work Schedule Demands:
- As scheduled during hours of operation (inclusive of weekend and evening hours as assigned) with occasional unscheduled overtime.
Communication Skills:
- Communicate with patients, providers, and colleagues on a daily basis.
