We are looking for an experienced Event Coordinator to organize excellent events An event coordinator must be well-organized and competent in time management. Communication skills and attention to detail will set apart the best among the candidates. Responsibilities:

Solicit, negotiate, and secure business from Market Segments including, but not limited to, City Wide Events, Weddings, Bus Tours, Sports Teams and Family Reunions.

Manage details for events such as assigning appropriate function facility space, selecting menus, and procuring accommodations. Assist the client in "extra" ways by helping to arrange the schedule and giving recommendations on vendors.

Maintain an accurate account of all client interactions. This includes, but is not limited to, all conversations and emails with clients, vendors, and other hotel employees to ensure accuracy and complete detailed information.

Return all phone calls within two hours and send all contracts within 24 hours of booking the business and/or securing the details. Return all emails as soon as possible.

Enter group blocks and rooming list reservations as necessary. Set up appropriate routing and tax exemption when necessary.

Maintain excellent customer service skills, email and telephone manner, with professionalism and a WOW factor.

Establish a positive and professional, yet personal, relationship with the client base to ensure repeat business.

Participate in Food & Beverage meetings to ensure that all information on the Function Sheets is clearly understood by all department managers and that all clients' needs are met and addressed.

Prepare monthly evaluation report of group evaluations and present to all managers.

Prepare monthly budget projections specifically pertaining to Banquet Food & Beverage and Meeting Room Rental.

Set a high standard for the level of hospitality delivered to clients. This includes, but is not limited to, greeting clients during the event to confirm set-up details and agenda, and troubleshooting any issues that may arise.

Send evaluation forms the following business day. Confirm all invoices after the event for accuracy in billing. Re-trace all accounts accordingly for future business.

On-going training for professional growth.

Assure confidentiality of all company-related business activities.

Ensure the Spearfish Convention Center website remains accurate and up to date with current practices, pictures, and materials. Attend all meetings with website vendor.

Create marketing materials and practices for the Spearfish Holiday Inn and Convention Center that are cohesive with our business practices and brand.

Assist in planning and implementation of the Black Hills Camaro Rally and the Black Hills Corvette Classic. Including but not limited to planning of events, marketing, registration support, social media marketing, and on-site help.

Perform any and all additional duties as requested by the Director of Sales & Events and General Manager.
