Service & Billing Process Specialist

Location: Santa Rosa. This role requires full-time office presence initially. For a candidate with a proven track record of absolute dependability and high performance, a hybrid telecommuting arrangement may be considered after an initial period.

Leete Generators is a critical infrastructure provider, specializing in backup generator maintenance and service. We are seeking a highly dependable Service & Billing Process Specialist to be the operational cornerstone of our recurring revenue cycle.

This role requires someone with unwavering reliability who can maintain meticulous precision in billing and contract administration, combined with a strong operational and systems-focused mindset. You will ensure accurate recurring billing, manage the contract renewal cycle using our service software system, and actively seek opportunities to leverage technology and automation to make the billing and contract process faster and more efficient.

Dependable attendance and immediate ownership of results are non-negotiable.

Key Responsibilities Job Description

Billing Quality Control & Precision

  • Process daily and recurring billing for contract service and maintenance work.
  • Meticulously review completed technician reports and documentation to ensure all work performed is accurately captured and properly billed, preventing any revenue leakage, yet be fast and efficient.
  • Apply strong process acumen to translate technical write-ups into precise, maximized billing, and verify pricing accuracy against set company standards.

Contract Administration & Client Engagement

  • Handle the administrative portion of the contract renewal cycle, ensuring accurate documentation and timely client communications regarding new and existing contract terms and renewals.
  • Act as a direct client point-of-contact for contract-related questions, effectively communicating details and revisions according to established company pricing and policies.
  • Maintain meticulous tracking systems while identifying client trends and relationship opportunities to maximize contract value.
  • Read contracts and RFPs; submit checklist analysis and recommendations to leadership.

CRM and System Expertise

  • Operate the company's service management software at a high level, ensuring data integrity for all service activities, client accounts, and contract records.
  • Enter new client data accurately and maintain organized databases.
  • Provide reliable phone support to customers and field teams. Knowledge of Bay Area geography is beneficial.
  • Provide mission-critical customer service support during peak power outages and emergency situations.

Qualifications & Skills

Required Skills and Abilities

  • Reliable attendance and commitment to scheduled hours is essential given our role in supporting critical power infrastructure.
  • Exceptional Interpersonal Skills: A demonstrated "people person" able to confidently engage clients, discuss financial terms, and proactively close administrative contract renewals.
  • CRM/Database: Proven ability to operate service software/CRM systems at a high level (not just basic data entry).
  • Advanced proficiency in Microsoft 365 Suite, with proven experience.
  • Strong organizational skills, attention to detail, and the ability to manage multiple priorities independently.
  • Technical aptitude—must understand some mechanical/electrical systems and be able to quickly learn our software programs.

  • Automation and AI Proficiency: Proven ability to utilize and implement automation tools (e.g., Power Automate, advanced formulas, or similar low-code/no-code AI tools) at a level beyond basic user proficiency.
  • Process Strategy & Technical Vision: Strong aptitude for identifying billing inefficiencies and developing automated or streamlined solutions for those specific processes.
  • Bachelor's Degree preferred (Finance, Operations, or Business focus).
  • Minimum 3 years of experience in service support, billing, or contract administration.
  • Prefer background in electrical, mechanical, construction, or backup generator systems.
