Job Title: Residential Manager

Status: The position is not exempt from the overtime pay provisions of the Fair Labor Standards Act and the applicable state wage & hour laws.

Department/Location: Department of Residential Services, Bethlehem, PA

Reports To: Residential Coordinator, Executive Director, and Assistant Executive Director

Primary Function: Responsible for the supervision and quality care to all clients in their identified zones in the residential program. This job supervises Direct Care Staff and requires continuous auditing of the identified programs. Residential Managers are required to facilitate continuous quality assurance. The Residential Manager is responsible for making sure that all of the responsibilities of the Group Home are being met in a timely and proper manner. If a Direct Care Staff is unable to find coverage, the Residential Manager shall ultimately be responsible and is required to cover open shifts.

Requirements:

  • Must be 18 years old or older.
  • Previous client/patient care experience.
  • Ability to work autonomously and independently. Ability to work as an active team member.
  • Excellent interpersonal skills to relate to clients and internal/external customers.
  • Must have a valid NJ/PA Driver's License with a record acceptable to the Agency's insurer.
  • Must be able to drive UI handicapped accessible van.
  • Must have First Aid/CPR, Medication Administration, Abuse and Neglect training.
  • Must work with rehabilitation patients with various disabilities including but not limited to Brain Injury, CVA, General Rehab, Acute/Chronic Neuro.

Duties and Responsibilities:

  • On-call 24 a day, 365 days a year (Universal provides you with the cell phone).
  • Oversee Medication Assistance.

Review medication books in your zone on a weekly basis.

  • Read/respond to communication logs and sign off.
  • Other duties as assigned.
  • Ensure that all critical information (medication changes, incidents, compliance concerns, supply orders, work orders, discharge/physician instructions, emergencies, operational breakdowns, etc.) is communicated to the appropriate departments and the team.
  • Refer to Residential Calendar for meetings, tasks, and assignments.
  • Progress notes and time sheets auditing for billing of services.
  • Assure that goals are being addressed.
  • Assure that staff are filling out notes and time sheets correctly, as well as signing and dating them.
  • Medical Management

  • Communicate with Medical Coordinator/MD as needed.

  • Communicate with Day Program staff and Medical Drivers as needed.

  • Communicate with families/case workers/guardians/POA's as needed.

  • Report all medical, behavioral, etc. issues to Medical staff /MD & Directors ASAP.

  • Follow-up with Medical department on all appointments as needed.

  • Provide transportation to and from appointments as well as hospital/ER visits as needed. Provide supervision in the ER as needed.

  • Communication

  • Continuous communication with Direct Care Staff.

  • Daily communication with all other Residential Managers.

  • Utilization of Tiger Text, company cell phone, and email for consistent continuous, communication with all staff members whenever necessary.

  • Regular communication with Executive Director and/or Assistant Executive Director.

  • Regular communication with day program staff.

  • Regular communication/follow-up with families/guardians/POA's.

  • Incident Reporting

  • Report all serious incidents immediately via electronic incident reporting system. Use paper Incident Report forms as backup. 911 report forms and Fall Report forms use in addition as needed.

  • Notify all team members and departments necessary.

  • Report all minor or potential incidents to Director and/or Assistant Executive Director for review ASAP.

  • Oversee Staff

  • Participate in new hire orientation process and transitions into working at the homes.

  • Training, scheduling, and supervision.

  • Staff schedules of designated zone; assist with staffing and scheduling other zones as needed.

  • Reduce overtime.

  • Conduct annual evaluations of performance of the Direct Care Staff.

  • Ensure Direct Care Staff are trained on Electronic Incident Reporting; make sure the paper incident reports are filled out when the electronic system is not used.

  • Ensure Direct Care Staff are following company policies and procedures.

  • Complete counseling notices, disciplinary notices, performance improvement plans, collect employee statements, and schedule re-training of staff as needed. Disciplinary actions (A Director must review before it's addressed).

  • Each shift must have at least one person on duty with current First Aid/CPR.

  • Oversee Food Supply.

-Prepare monthly dinner menus with the other Residential Managers. Distribute to the homes and facility.

-Train staff on special diets and ensure they are following diet plans.

-Food shopping-personal and shared home groceries must be purchased and available for clients consistently every week at the homes in your zone. This may be done online, curbside or in-person.

* Assist clients with EBT and personal funds purchases. Encourage further growth and independence skills whenever possible. Keep track of purchases

-Ensure appropriate amount of food available and ingredients available to prepare dinner menu items at the homes in your zone.

-Label and date opened food. Remind Direct Care Staff to complete this task to ensure food safety in the homes in your zone. All expired food or spoiled food must be discarded.

  • Check first aid box for necessary items (re-supply as necessary)
  • Check OTC's (re-supply as necessary)
  • Inventory/Order supplies. Maintain sufficient supply of all cleaning, sanitizing and hygiene supplies at the facility for ne Ensure Supply bins are filled for Supply Day Thursdays. Receive supply refill forms to assist with filling bins with specific items. Emergency requests outside of Supply Day should be approved by a Director.
  • Obtain client funds/return change and receipts.
  • Repair and Maintenance

  • Report all minor and serious repairs, follow up as needed.

  • Oversee Fire Safety & Home Compliance

-Ensure monthly Fire drills are conducted and logged on the official form.

  • Maintain Fire drill forms for audits and recordkeeping.

-Conduct regular Safety Checks of the homes in your zone utilizing a compliance focused checklist. Keep record of the Safety Checks. Any repairs needed, submit to Maintenance Department utilizing a Work Order Form. Any furniture, clothing, bedding, towels, small appliances, décor, etc. for the homes needed, submit a Residential Manager Supply Order Request form to a Director for purchase.

-Train staff on the use of the fire alarm and fire evacuation plans.

-Develop individual client evacuation plans.

-Schedule annual Township fire inspections.

-Schedule annual fire extinguisher inspections.

  • Conduct monthly meetings at the homes in your zone with the staff (in-person or via video), Keep minutes (agenda/discussion points), document proof of meeting with signatures (or you record the names of participants if via video) from staff on a sign-in log.

-Conduct weekly meetings with the other Residential Managers (including the Directors or Coordinators as needed) to maintain communication and effective management of the Residential Department.

  • Integrate knowledge of patient/family developmental needs in the planning and delivery of patient care. Ensure all staff working in your zone have read and reviewed all the RASPs, face sheets, and dietary needs for that zone.
  • Ensure that clients are assisted with activities of daily living (ADL's), medication management, personal hygiene and health, general housekeeping skills and food preparation.
  • Assure that directions, guidance, and supervision are given to clients.
  • Participate in team meetings, and any other meetings requested.
  • Ability to communicate orally and in writing.
  • Cooperate effectively with staff, clients, families, and other members of the delivery systems.
  • Basic math skills.
  • Plan, organize and use time efficiently and effectively.
  • Always maintain client confidentiality.
  • Ensure client safety by following all rules and regulations in accordance with Universal's policy and procedures manual.
  • Oversee cleanliness of group home and/or apartment.
  • Ensure active community integration for all clients. Assist whenever necessary.
  • Ability to work in a demanding situation, changing focus of work due to changing priorities.
  • Ability to work with minimal supervision and maintain responsibility for the work performed.
  • Must work flexible hours based on the needs of the group home- No "set in stone" schedule.

Physical Demands:

  • Daily, almost constant physical and other interaction with brain injured individuals.
  • Daily, approximately 40% of time is spent standing, 40% walking, and 20% sitting.
  • Occasionally required to lift 150 pounds, carry 40 pounds, and push 150 pounds.
  • Occasionally required to stoop, kneel, crouch, crawl, and reach.
  • Must be able to speak, hear and see. Depth perception is required.

Working Conditions

Involves regular interaction with a wide variety of unpredictable and often inappropriate conduct and comments by brain-injured individuals.
