Position Summary and Role Responsibilities:

We are looking for a detail-oriented and dependable Inventory & Pricebook Coordinator to manage daily inventory accuracy, ensure timely data entry, and maintain an up-to-date pricebook using SSCS (or equivalent back-office software). This role is critical to maintaining pricing integrity across all locations and supporting efficient inventory management from the office.

Key Responsibilities:

SSCS Data Management:

  • Enter, verify, and update item-level data in SSCS, including new item setups, price changes, and product descriptions.
  • Maintain accurate vendor, department, and product mapping in the system.
  • Regularly audit the pricebook to eliminate duplicates, inactive items, or outdated pricing.

Inventory Oversight:

  • Track inventory levels and reconcile discrepancies between system reports and physical counts.
  • Work with store managers to investigate variances and ensure corrective actions are taken.
  • Support periodic inventory counts and spot checks for high-shrink or high-value items.

Vendor and Cost Updates:

  • Review and input cost changes from vendor invoices or rebates into the system.
  • Ensure promotional pricing is updated in a timely manner and removed post-promotion.
  • Coordinate with suppliers to maintain up-to-date product and pricing files.

Reporting & Analysis:

  • Generate regular reports from SSCS on price changes, margin analysis, item movement, and shrink trends.
  • Assist management in evaluating the financial impact of pricing changes or inventory adjustments.

Compliance & Accuracy:

  • Ensure all entries are accurate, time-stamped, and comply with internal controls.
  • Maintain documentation of all pricebook changes and inventory adjustments for auditing purposes.

Qualifications:

  • Experience with SSCS or similar back-office inventory and pricing systems (e.g., PDI, CStoreOffice, etc.).
  • 1–2 years of experience in inventory management, data entry, or administrative retail support preferred.
  • High attention to detail and accuracy in data entry.
  • Proficient in Microsoft Excel, Outlook, and Google Sheets.
  • Strong organizational and communication skills.
  • Data Entry and Account Reconciliation are a MUST.

Preferred Attributes:

  • Prior experience in gas station, convenience store, or retail operations.
  • Familiarity with vendor cost structures, rebates, and retail pricing strategies.
  • Ability to work independently, prioritize tasks, and meet deadlines.
