About Our District
The Madison Metropolitan School District is the second largest school district in Wisconsin. The district serves a beautifully diverse population of more than 25,000 students. More than half are students of color. Almost half come from low income households. Nearly one third are English Language Learners, and more than 100 languages are represented in our schools. Purpose of Position:
Administrative Clerk Senior should work as a multitasker with excellent communication skills and an upbeat attitude to ensure the efficient operation of the office. Support the Senior Executive Director, directors, and employees through a variety of tasks related to organization and communication within the department of Curriculum & Instruction. Responsible for confidential and time-sensitive material. Familiar with a variety of the field's concepts, practices, and procedures.
Ability to demonstrate professional communication via phone and email, ensuring that all administrative assistant duties are completed accurately and delivered with high quality in a timely manner. Direct and lead the work of others. Rely on experience and judgment to plan and accomplish goals, as well as a wide degree of creativity and latitude is expected. Reports to the Senior Executive Director of Curriculum & Instruction.

Essential Duties and Responsibilities:
- Serve as an administrative assistant in support of the Senior Executive Director for Curriculum & Instruction
- Schedule meetings/appointments and maintain appointment calendars.
- Compose correspondence, reports, and other documents for signature/approval.
- Compile and monitor the department procurement cards and the C&I budgets.
- Assist in coordinating department activities upon request.
- Provide clerical support for administrator's department
- Assist administrators and clerical staff in the proper spending of those funds.
- Work with the distribution of Curriculum Review of Learning Materials (CRLM) funds, respond to questions and maintain CRLM budget information.
- Navigate the Munis system for payroll and the preparation and processing of requisitions and Kronos for payroll.
- Serve as clerical support for the Curriculum & Instruction office area.
- Coordinate office functions, including development and/or revision of office procedures and job functions.
- Develop more effective ways of providing staff with the necessary services.
- Maintain adequate office supply inventory for all Curriculum & Instruction staff.
- Gather feedback from a wide variety of stakeholders regarding additional logistical strategy support needs.
- Set up venues for meetings/appointments C & I for the directors and maintain appointment calendars.
- Compose correspondence, reports, and other documents for directors for signature/approval.
- Process/manage conference request forms, registrations, and mileage reimbursement.
- Answer C&I website or other MMSD communication apps questions or direct them to the appropriate contact.
- Serve as clerical support to other departments within Schools & Learning, as necessary
- Schedule meetings/appointments
- Compose correspondence, reports, and other documents
- Compile and monitor various budgets
- Assist in coordinating department activities
- Assist with payroll, extended employment projects, reimbursements, and other related tasks.
- Experience and proficiency working with word processing (MS Word, Google Docs), database and spreadsheet programs (MS Excel, Google Sheets), presentation platforms (MS PowerPoint, Google Slides), and Adobe Acrobat
- Excellent communication skills, both written and verbal, along with customer service experience. Ability to problem solve effectively and courteously around customer needs.
- Ability to work with different databases, export reports, and communicate information in print form using a variety of formats.
- Ability to manage and monitor multiple budgets from varied funding sources.
- Demonstrated organizational skills and proven ability to be self-directed
- Ability to manage multiple tasks in a timely and courteous manner.
- Evidence of excellent collaborative skills within a team structure
- Experience working cross-culturally and/or commitment to work toward improving one's own cultural competence, e.g., valuing difference/diversity, recognizing personal limitations in one's skills and expertise, and having the desire to learn in these areas.
- Associate degree
- At least three years of experience, preferably at the administrative level.
- Experience and accuracy working with word processing (Microsoft Word), database, and spreadsheet (Excel) programs, PowerPoint, and Adobe Acrobat.
- Customer service/communication skills
- Ability to run database reports and communicate information in print form through a variety of formats.
- Demonstrated organizational skills and proven ability to be self-directed.

Physical Requirements:
Ability to work under generally safe and comfortable conditions where exposure to environmental factors is minimal and poses little to no risk of injury. This position requires the ability to lift up to 25 pounds occasionally and may involve walking, sitting, stooping or reaching. Manual dexterity is necessary for completing general tasks while operating office equipment. This position may require being stationary for extended periods of time.
Working Conditions:
- Work requires travel to different locations within the district and to off-site meetings.
- Position requires working evenings, nights, and some weekends.
- Certain positions within the District may allow remote/work from home flexibility for a portion of their work schedule, depending on the needs of the position and the work unit. This topic and any remote work flexibility that may be available will be discussed in more detail in the interview process
- School-based positions are required to be in-person unless otherwise directed by the building principal.
