Company: We are seeking an experienced, high-level assistant to join the front office/administrative team in our growing downtown Vermont offices.

Summary: The Administrative Assistant will be a key member of the front office team that assists in performing office services, administrative and bookkeeping tasks, and by implementing policies and procedures.

Job Duties: The duties of the Administrative Assistant involve assisting the Executive Administrator, and liaising with customers, vendors, and the Sales, Procurement, Engineering, and Support departments on administrative, accounting, or bookkeeping issues.
Representative duties may include but are not limited to: confirm and enter bills, confirm and enter payments, create invoices, confirm information, send out invoices as approved, track issuance, engage in proactive and follow up collections, fill out vendor questionnaires, maintain files, create/maintain electronic customer sales folders and information, keep filing up to date, enters and updates information on sales, issues and delivers information or supplies to requesting individuals, general office cleanliness, assists with records management by filing, scanning and maintaining documents. In addition:
* Contributes to team effort by accomplishing related results as needed.
* Performs related office duties such as processing incoming and outgoing mail and deliveries; copying and binding forms, reports, and other documents and other similar activities;

Requirements:
* 5+ years experience in an administrative, assistant, or bookkeeping position
* Reporting, administrative writing, process management, and problem solving skills
* Highly effective oral and written communication skills
* Strong proficiency in MS Office, Outlook, and QuickBooks Enterprise Solutions a must
* Ability to self-direct your activities and handle administrative duties
* Detail-oriented, highly organized, and analytical mindset.
