Our client in the healthcare sector is seeking an Ongoing TEMP Office Administrative Assistant to support daily operations and contribute to a well-organized, collaborative office environment. This role is critical to maintaining efficient workflows, supporting cross-functional teams, and ensuring a positive in-office experience. The ideal candidate is highly organized, proactive, and proficient in Adobe tools, with the ability to manage multiple administrative and operational responsibilities in a fast-paced, in-office setting.

Responsibilities
- Oversee and optimize daily office operations, including office supplies, mail, filing systems, and inventory management
- Act as the primary point of contact for facility-related needs and coordinate prompt resolution with vendors and internal teams
- Partner closely with HR on employee onboarding, engagement initiatives, and team-building events
- Support a welcoming workplace culture by managing front desk operations, guest experiences, and in-person communications
- Collaborate with other office locations to ensure consistency in administrative processes
- Plan and manage office renovations, remodels, and construction projects; serve as liaison with vendors, contractors, and inspectors
- Coordinate space planning and logistics to accommodate evolving organizational needs
- Conduct internal audits across departments such as Shipping, Patient Engagement, Pharmacy, and others as assigned
- Review, negotiate, and approve invoices for payment
- Create, analyze, and present patient, provider, and NPS surveys using Qualtrics; deliver quarterly reports to leadership and the Quality Assurance Committee
- Schedule and organize leadership meetings (BURs), including logistics, catering, and off-site arrangements
- Prepare and edit documents, presentations, and internal materials using Adobe Creative Suite (e.g., Acrobat, InDesign, or similar tools)
- Minimum of 3 years of related administrative or office management experience; healthcare experience preferred
- Associate's degree or higher in Business Administration, Management, Healthcare Administration, Accounting, or a related field (or equivalent experience)
- Strong proficiency in Adobe products, particularly for document creation, editing, and presentation support
- Excellent organizational, project management, and time-management skills
- Strong analytical, written, and verbal communication abilities
- Ability to manage competing priorities with attention to detail
- Collaborative team player with strong interpersonal skills
