Position Purpose:

The Operations Support Specialist plays a vital role in the daily administration and coordination of operational functions. This position collaborates with operational leaders, recruiters, sales representatives, and field associates to ensure the branch operates smoothly, facilitating efficient recruiting and business processes. As a key link between field staff and back-office operations, the Specialist will enhance communication and workflow.

Key Accountabilities

  • Manage and redirect incoming calls to the appropriate departments or personnel, ensuring all inquiries are handled promptly and accurately.
  • Efficiently prepare, review, and process onboarding paperwork for new hires, including offer letters, Direct Deposit information, and I-9 and e-verify documentation, all while providing excellent service that makes new employees feel valued and welcome.
  • Coordinate necessary background checks and drug testing required for job placements.
  • Collect, save, and process weekly timecard entries, including expenses, per diem, and sick time to ensure accurate and timely payroll disbursements every Friday.
  • Maintain close communication with operational leaders, recruiters, HR, Payroll, and Billing departments as well as field associates to streamline operations.
  • Facilitate any timecard and billing adjustments necessary to ensure proper payments and invoicing.
  • Serve as the first point of contact to troubleshoot onboarding and payroll issues for staff.
  • Support recruitment teams in keeping job boards updated and tracking candidate progress in VMS exchanges.
  • Assist recruiters in monitoring employee certifications to confirm their validity.
  • Help organize, schedule, and deliver required training for employees during the onboarding process, both onsite and remotely.
  • Engage in front office duties as needed.
  • Perform other related duties as assigned to support organizational goals.

Minimum Experience Requirements

  • High School Diploma or equivalent; additional education may be considered towards work experience.
  • Preferred experience in human resources processes, employee onboarding, or payroll operations.
  • Experience in providing outstanding customer service is highly desirable.
  • Ability to work independently with minimal supervision.
  • Excellent verbal and written communication skills to facilitate interactions with clients, candidates, and team members while clearly conveying job-related information.
  • Strong judgment and decision-making skills.
  • Proficient organizational and multitasking abilities.
  • Strong analytical skills for evaluating complex situations and implementing effective solutions.
  • Willingness to initiate and adapt to change positively.
  • Effective time management skills, with the capability to prioritize tasks.
  • Exceptional interpersonal skills.
